The Operations Centre Supervisor is responsible for the continuous and reliable operation of NAIT buildings by ensuring buildings provide healthy, safe and comfortable spaces in which to learn and work for all NAIT users. The Facilities Operations Centre consists of the contact centre, which is the point of entry to the Computer Maintenance Management System, coordinates basic Building Access credentials, provides customer facing services and coordinates purchasing Service Materials and Inventory Management.

This position will serve as the point of contact for day-to-day activities involving the facilities such as event planning, physical plant, environmental systems, custodial services, grounds maintenance, utilities, fire safety, Environmental Health and Safety, trades, and external contractors. The Supervisor is responsible for a team within the contact centre, ensuring that the team is performs all functions mandated as part of the Operations Centre and are cross trained in all functions, systems and activities carried out as part of the operations center. It is expected that the Supervisor can also provide coverage for any function performed by the Operations Centre team as well.

Key Responsibilities:

  • Provide direction and oversight / coaching to operations centre staff through planning and prioritization of work to maintain a highly effective team that is cross trained and affective in each functional area of the business unit.
  • Manage and coordinate permit process by daily review of applications, coordinating response protocols (deployment of trades, review of impacts, consultation of stakeholders), provide status updates and issue permits to ensure safe operation of campus and protection of campus assets
  • Periodic audit of permits and permit system including work site audits to ensure quality and compliance
  • Oversight of CMMS / work order management intake process. Ensure work orders are being entered accurately and completely. Ensure cost allocations, resources assignments and prioritization are in alignment with department goals & objectives. Report on and coordinate aged work orders assignments to successful completion
  • Coordinate, communicate and collaborate with the operations control centre, trades teams and maintenance coordinators to ensure timely execution of work orders, resolve facilities operations issues, coordinate permit needs, coordinate event needs and message department outages to the larger NAIT community
  • Provide operations support for NAIT educational delivery, conferences, events, sporting events, and other NAIT supported activities, which includes coordinating clean up service for the event, monitoring/adjusting security set up for doors, elevator access and HVAC needs
  • Receive and respond to questions and concerns from NAIT employees, contractors, vendors, visitors, and users; identify issues and resolve problems or refer to manager as appropriate.
  • Work collaboratively with internal and external contractors and vendors.
  • Oversee purchasing functions of team and interpreting purchasing administrative regulations and policies and recommending new and improved programs to effectively manage purchasing administration
  • Assist in the preparation of specifications, formal bid invitations, and correspondence regarding purchasing matters.
  • Implementing purchasing, inventory and leasing process for fixed assets and office supplies in compliance with the approved budget (including preparing purchase orders and reconciling related monthly invoices for approval and payment)
  • Monitors inventory to ensure within authorized budget and appropriate stock levels
  • Oversee administrative functions for building access, security and key assignments & distribution
  • Maintaining up-to-date operational records for Facilities Management
  • Maintains and completes required reports

Qualifications:
  • Facility Management Professional (FMP) designation, Certified Facility Manager (CFM) certificate or Certified Records Manager (CRM) certificate is an asset
  • Post-secondary education in Business Administration, Facilities Management, Building Sciences / Engineering Technology or a related discipline is required
  • Minimum of 5 years related experience in Facilities or Building Operations Management, Records Management is required
  • Expert knowledge of and experience with various building systems including Access Management, equipment and vendor management is required
  • Strong knowledge of CAFM/CMMS system is required
  • Strong working knowledge of Alberta Occupational Health and Safety Act and related regulations, Alberta Fire Codes, Alberta Building Codes is an asset
Remuneration: $2,535.13 to $3,409.20 bi-weekly, plus a comprehensive benefits package (coordinator II Classification).

This position is covered by the AUPE (Alberta Union of Provincial Employees) Collective Agreement.
