Operations Manager
to work closely with the Regional Manager in overseeing multiple residences within the region.
Position Overview
The Operations Manager involves collaboration with the Regional Manager on marketing, financial, regulatory, and administrative functions to ensure consistency, quality, and smooth coordination across all homes. The ideal candidate is detail-oriented, adaptable, and able to manage multiple priorities.
Key Responsibilities
The below scope of work is completed in collaboration with the Regional Manager. Other duties may be assigned as required.
1. Operational Coordination
Coordinate site visit logistics, schedule follow-ups, and prepare operational summaries.
Track action items across residences and ensure timely progress by home leadership teams.
Maintain organized systems for policies, procedures, and operational documentation.
2. Regulatory & Compliance
Assist in preparing for inspections, audits, and compliance reviews.
Gather documentation, track corrective action plans, and monitor compliance deadlines.
Maintain up-to-date compliance files, logs, and tracking tools.
3. Financial & Administrative Oversight
Review purchase orders, quotes, and invoices for accuracy and completeness.
Track outstanding resident balances and prepare communication drafts as required.
4. Sales, Marketing & Occupancy
Update occupancy reports, lead pipelines, tour data, and conversion metrics.
Prepare occupancy summaries and identify follow-up needs.
Coordinate marketing initiatives such as events, materials, and tracking systems.
5. Human Resources Coordination
Support recruitment efforts when needed.
Track staff training requirements, performance review schedules, and HR deadlines.
Assist with documentation related to employee relations or conflict follow-ups.
6. Capital Projects & Contractor Coordination
Gather quotes, prepare purchase orders, and monitor project timelines.
Maintain organized records for contractor agreements, invoices, and site reports.
Ensure contractor communication, scheduling, and documentation are properly managed.
7. Resident Relations
Draft resident communications regarding outstanding balances or behavioural concerns.
Track follow-ups with residents, families, Powers of Attorney, and external stakeholders.
Maintain confidential and accurate resident documentation.
8. Reporting & Communication
Prepare reports, presentations, and meeting materials for regional and corporate leadership.
Consolidate data from multiple residences into clear, organized summaries.
Support consistent internal communication across the region.
Qualifications
Experience in operations support (retirement home or healthcare experience is an asset).
Strong organizational, time management, and multi-tasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and comfort with data tracking.
Ability to maintain confidentiality and demonstrate professionalism at all times.
Strong attention to detail and ability to work independently.
Valid driver's license and ability to travel between residences as required.
Job Types: Full-time, Permanent
Pay: $47,000.00 per year
