Location - This role is in-person at the Royal Alexandra Hospital, Lois Hole Hospital for Women.
This position reports to the Operations Lead/Executive Assistant and supports the Office of the Chair, Academic Department Manager (ADM), and Academic Leads. The Operations Assistant provides administrative support to the academic and operational activities within the department.
As the primary resource and point-of-contact for administrative processes, the incumbent is required to liaise with and provide information to senior faculty and administrators, the Faculty of Medicine and Dentistry office, and department faculty members. Working in a busy environment, the incumbent is required to handle urgent situations appropriately and with sensitivity to the issue. The position facilitates office workflow ensuring deadlines are met and projects are completed on schedule. The Operations Assistant works to problem solve and actions the appropriate solutions on behalf of the Academic Department Manager and the Academic Leaders.
Responsibilities:

  • Provides day to day administrative support and coordination of activities for the department leadership team
  • Prepares itineraries, makes travel arrangements, and coordinates travel & expense claims for faculty members and academic visitors
  • Supports day-to-day operations for financial and human resources transactional requests
  • Coordinates department events and workshops
  • Coordination of receipts for corporate credit card (Pcard) reconciliation
Qualifications:
  • Undergraduate degree in Business Administration or related field
  • 3-5 years experience working with and supporting senior leadership
  • 1-3 years experience with PeopleSoft (or similar) software to perform HR and Financial transactions and reporting
  • Demonstrated ability to navigate financial and human resource policies and procedures
  • Demonstrated ability to exercise good judgement, tact, and professionalism
  • Demonstrated ability to maintain organization and effective time management in a fast-paced and demanding environment
  • Strong commitment to client service with a professional and positive approach
  • Demonstrated problem-solving skills
  • Ability to work independently with minimal direction
