The Department of Pediatrics at the University of Alberta is one of Canada's leading academic health centres for pediatric specialty and subspecialty education and research. Working closely with the Stollery Children's Hospital and community pediatrics in Northern Alberta, we are committed to meeting the unique needs of our community and providing exceptional care for infants, children, youth, and families. Position Summary




Reporting to the Academic Department Manager, the Operations Assistant provides administrative support to the Office of the Chair, specifically with coordination and implementation of strategic operational initiatives. They work to support the Department Chair's leadership team including Academic Department Manager, Associate Chairs, and Directors, acting as the primary resource and point-of-contact for department and University administration processes. The Operations Assistant is required to liaise with and provide information to senior faculty and administrators in an accurate, timely, and professional fashion. Working in a busy environment, they are required to handle urgent situations appropriately and with confidentiality to the issue. This role helps to facilitate office workflow, ensuring deadlines are met and projects are completed on schedule. The Operations Assistant works to problem-solve and help implement the appropriate solutions on behalf of the Office of the Chair.

Duties



Work as part of a team of senior coordinators providing support for all activities that fall under the Office of the Chair and supports department initiatives. This may include initiatives relating to inter-department collaborations, faculty and staff wellness, access/community/and belonging, faculty mentorship, and initiatives related to Indigenous engagement. Coordinate activities, maintain complex calendars, and provide day-to-day administrative support for the Academic Department Manager, Department Chair, Associate Chairs, and Strategic Directors, as assigned. Plan and execute department events, meetings, and workshops. This may include logistics planning, preparation of meeting agendas/materials/presentations, arranging guests and itineraries, and recording or distributing minutes as required. Communicates professionally with department members, the faculty office, and other University administrators, as well as external contacts, on behalf of the Department's leadership team.

Minimum Qualifications



Undergraduate degree required. 1+ year of work experience providing administrative and/or project-based support. Demonstrated strong interpersonal skills and professional communication Demonstrated organizational skills and ability to prioritize and multi-task Proficiency in using online meeting platforms (Zoom, Google Meets) Proficiency in computer applications such as Microsoft Office, Google Applications, and Adobe

Preferred Qualifications



Demonstrated experience (lived or worked) within the areas of wellness, access, community, belonging, and/or indigenous engagement initiatives is considered an asset. Experience working with and supporting senior leadership is considered an asset. Demonstrated commitment to client service with a professional, positive approach. Experience within the context of education and/or health services is an asset.
