Job Description

Hey there! We're Phase One Design--a national award-winning luxury residential design studio based in Calgary (with a second home in Vancouver). We design gorgeous custom dream homes and have completed over 1000 of them over the past 20 years.

We're a tight-knit, driven, and down-to-earth team who love what we do--and we believe work should be both productive and fun. We're now looking for a dynamic, detail-loving, tech-comfy Operations & Admin Coordinator to help keep things running smoothly behind the scenes.

About the Role:


This is not your typical admin gig. You'll be wearing lots of hats (the good kind), supporting our founder and team with everything from project tracking and client coordination to billing, onboarding, and troubleshooting tech. If you love checklists, get excited by organized workflows, and want to make a real impact on a growing creative business--this one's for you.

Part-time (25-35 hrs/week) Hybrid - mostly remote, but you're based in Calgary for occasional in-person tasks Flexible start date & schedule Junior to mid-level experience welcome! This is a long-term permanent position.

What You'll Be Doing:



Project Coordination - Set up and manage boards in Monday.com to keep our projects and team on track, including automations and light programming Executive Assistant Tasks - Help our founder with calendar management, personal tasks, and scheduling Client & CRM Support - Manage HubSpot, send out DocuSigns, and support client communications Billing & Subscriptions - Pay vendors and keep tabs on software and office accounts Studio Support - Order groceries, schedule cleaners, manage office errands Tech & Onboarding - Troubleshoot software hiccups and onboard new hires Documentation - Keep internal processes clear with tutorials and SOPs Invoicing & Finance - Send invoices, track payments, support basic accounting General Operations - Be the glue that keeps everything running smoothly!

You'll Love This Role If You...



Are organized and thrive on checklists and structure Have 2+ years of admin or operations experience (bonus if in design/architecture) Love and embrace technology. Experience with Monday.com, HubSpot, DocuSign, Dropbox Have some bookkeeping experience, including using QBO Communicate professionally, understand how to deliver 5-star white-glove service to clientele, and enjoy working both behind the scenes and client-facing. Are proactive, dependable, and resourceful Are based in Calgary and available for in-person tasks
