Reporting to the Academic Strategy and Operations Manager, the Operations Administrative Assistant performs a vital role in supporting operational activities within the department while providing direct assistance to the Associate Deans. The Operations Administrative Assistant works closely with academic staff within the JR Shaw School of Business including program chairs, instructors, and other administrative staff. This position will also collaborate on operational responsibilities with interdepartmental stakeholders including the Business Information Centre, the Scheduling team, and the greater department of Academic Quality and Operational Excellence.
The Operations Administrative Assistant will work alongside a team of Operational Administrative Assistants to carry out a variety of responsibilities to ensure smooth operation of the department. The ideal candidate will provide highly organized administrative and operational support to the Associate Deans and their portfolios, have demonstrated to be detail oriented, and have excellent interpersonal skills as one of the primary points of contact for staff.
Key Responsibilities:

  • Assists the Associate Deans with operational activities in the areas of scheduling, instructional assignments, finance, human resources, contracts, timesheets, payroll.
  • Coordinates and collaborates with all levels of administrative professionals on administrative efficiencies in support of department and school activities.
  • Assists with enrollment management and monitors student enrollment, course demand, and instructional assignments.
  • Gathers and reports student numbers to ensure targets are met through admissions.
  • Assists with the development and implementation of marketing, recruitment, and retention strategies.
  • Assists with Human Resources recruitment, employment, performance, and orientation of personnel.
  • Assists with the preparation of operating and capital resources for the department.
  • Supports new staff members (orientation, key requisitions, office space, etc.).
  • Coordinates meetings including agendas, itineraries, meeting notices and related materials, calendar invites and response, records/distributes minutes; manages Associate Dean calendars.
  • Researches and prepares various forms of information.
  • Prepares reports and organizes and tracks information.
  • Supports all portfolio programs, staff, and students.
  • Supports facility operations related to program delivery.
Skills & Abilities:
  • Excellent interpersonal and communication skills
  • Strong organizational and time management skills
  • Proficient with MS Office Suite (Excel, Word, PowerPoint, Access, Teams)
  • Awareness of policies, guidelines, and procedures that impact departments.
  • Awareness of budget-related processes
  • Awareness of student administration and finance systems.
  • Experience with PeopleSoft would be considered an asset.
Qualifications:
  • Completion of grade twelve.
  • Related post-secondary certificate or diploma.
  • Minimum of three years related experience.
  • Equivalencies may be considered.
Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).
Remuneration: $48,257.04 - $62,451.48 annually, plus a comprehensive benefits package. (Classification - Administrative Support V).
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
