Job Description

Northumberland Ferries Limited and Bay Ferries Limited, regional leaders in the passenger transportation industry, are seeking an experienced Operational Coordinator(s) to join our team.

Position Overview






The Operational Coordinators play a key role in maintaining the operational efficiency of vessels and terminals, while directly supporting the Terminal Manager and exercising leadership responsibilities. This position supervises day-to-day operational activities, manages crewing and financial processes, and oversees confidential labor relations matters. Acting with independence and authority, the Operational Coordinators ensures operational goals and company standards are consistently met.

Key Responsibilities



Develop and manage employee schedules in alignment with company seniority lists, certifications, and collective bargaining agreements. Create and assign crew change schedules, ensuring all details are communicated to relevant parties. Direct responsibility and authority over employment conditions including work assignments, hours, shifts, positions, and locations. Manage employee call-ins and enforce collective agreement protocols. Monitor employee attendance, maintain accurate call-in logs, authorize shift changes, approve time-off requests, and adjust staffing as required. Collect accurate data to support potential grievance processes as per collective agreements. Prepare and maintain confidential reports related to staffing concerns for management review. Validate payroll entries in Payworks against crew schedules, job assignments, and collective agreements. Report payroll discrepancies to management for resolution. Review payroll reports and ensure accuracy of financial records. Assist with preparation and distribution of operational reports and documentation. Maintain updated crew seniority lists, declarations, and certification records. Support People & Culture (P&C) with scheduling for new hire orientation, familiarization, and training events. Assist with maintaining master certification spreadsheets and established position tracking. Participate in required training and emergency drills. Enforce company health and safety standards across all operational activities. Identify potential risks and proactively recommend strategies to mitigate them.

Qualifications



Post-secondary education in Business, Operations Management, or a related field preferred. 2+ years of operational or supervisory experience preferred. Experience working within unionized environments considered an asset. Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Familiarity with payroll systems and inventory/financial management tools. Strong organizational skills with high attention to detail. Excellent written and verbal communication abilities. Proven leadership, conflict resolution, and decision-making skills. Ability to exercise independent judgment and maintain confidentiality. Experience in marine industry considered an asset. Other duties as assigned.

Other Requirements



Must be bondable. Completion of WHMIS, Accessibility, and Workplace Harassment & Violence Prevention Training (company-provided).

Work Environment






This position is primarily based at terminal locations with some travel on the vessels. It may require extended periods of walking, standing, and handling moderate physical loads. Flexibility and adaptability are essential to support operational needs. Schedule 40-hour work week with early morning starts, may change with the operation sailing season. COMPENSATION




The anticipated salary range for this position is 55K to 65K.
