Overview


We are seeking a highly organized and detail-oriented Operations Administrator to provide critical support to our daily operations. In this role, you will play an integral part in maintaining the efficiency of our business by coordinating service schedules, ensuring the accuracy of billing and invoicing, and facilitating effective communication across departments. The ideal candidate will be proactive, dependable, and adept at managing multiple priorities in a fast-paced and dynamic work environment.

Key Responsibilities



Administrative & Operational Support



Provide comprehensive administrative and operational support to the Operations Manager and field teams. Assist in monitoring daily operational activities, including route progress, service completion, and equipment utilization. Coordinate communication between drivers, supervisors, and customers to ensure timely and efficient service delivery. Maintain up-to-date operational data and prepare reports to support decision-making. Track and follow up on equipment maintenance, inspections, and service records. Support onboarding and orientation of new operations staff by preparing documentation and coordinating training schedules.

Scheduling & Dispatch Coordination



Assist the dispatch team with route planning, driver coordination, and adjustments to daily schedules. Monitor route completion and proactively identify and communicate service delays or changes. Ensure that customer requests and service updates are logged and communicated accurately.

Invoicing & Billing



Verify billing data and ensure accuracy of all invoices by cross-referencing service records, route logs, and customer agreements. Address customer billing inquiries and process corrections promptly. Track outstanding receivables and coordinate with the finance department as needed.

Compliance & Reporting



Support the preparation and submission of compliance documents, permits, and operational reports. Maintain organized records for audits, inspections, and internal reviews. Ensure adherence to company policies, safety procedures, and regulatory requirements.

Administrative Coordination



Prepare, edit, and format reports, internal communications, and Standard Operating Procedures (SOPs). Manage office communications, filing systems, and data organization. Provide general administrative support to the broader operations team as required.

Qualifications



Minimum 3 years of experience in an administrative, operations, or office coordination role; experience in waste management, transportation, or logistics is considered a strong asset. Post-secondary education in Business Administration, Logistics, or a related discipline preferred. Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with routing, fleet management, TRUX, or ERP systems is an advantage. Exceptional organizational and time management skills with strong attention to detail. Excellent verbal and written communication abilities and strong interpersonal skills. Demonstrated ability to multi-task and prioritize effectively in a dynamic, fast-paced environment. Knowledge of infrastructure or operational systems is an asset.
