We are looking for highly motivated individual for the role of Office Coordinator (Reception). The Office Coordinator is responsible for providing administrative support to the advisors in the office; answering the phone and greeting clients when they arrive to the office. Responsibilities:
Administrative support
Create and maintain a process and procedures manual for the reception desk and ensuring the information remains current
Manage and pay various expenses for the office
Co-ordinate courier shipments as instructed (includes packaging, labeling and tracking of shipments)
Order office supplies for the reception area, supply room, photocopier room and kitchen area
Client reception
Prompt and professional management of all incoming calls:
Greet clients in-person and on the telephone in a friendly, business-like manner
Management of complaint calls and successful sourcing and retrieving of information as requested
Sustains a good rapport with clients and maintains the company image through professional communications
Executive assistant support
Daily banking for advisors
Provide support to advisor Marketing Assistants where required
Continued development and training
Participate in ongoing training related to job duties; develop knowledge and skills through sponsored education
Skills and requirements:
Ability to exercise discretion in dealing with sensitive situations, using good judgment when responding to issues or requests
Strong ability to multitask as priorities may shift day-to-day
Attention-to-detail, ability to take initiative, strong organization skills
Strong written and verbal communication skills is a must
Team player is essential to be successful in this position
Excellent PC skills in a Windows XP/ Windows 7 environment (Office 365, Word, Excel, Outlook, Internet)
Relevant investment industry experience
Excellent knowledge of industry technology platform
Canadian Securities Course
Ability to exercise discretion in dealing with sensitive situations, using good judgment when responding to issues or requests
