SCOPE



Reporting to the Ombudsperson, with functional reporting to the Director of Offices of Rights and Responsibilities (ORR), the incumbent is the initial source of information to clients seeking resolution from the Ombuds Office or the ORR. They could encounter clients with behavioral conflict situations, situations of high stress and situations where clients could pose a threat to themselves and/or other members of the university. The incumbent provides the clients with information on university policies, procedures, and options for resolution and follows-up on various dossiers and assignments. The incumbent must maintain the confidentiality of information and/or materials to which they have access and remain impartial in carrying out their functions.



PRIMARY RESPONSIBILITIES



o Triage incoming requests based on the Code or Terms of Reference. Conduct initial intake interviews and provide information on university policies, procedures, and options for resolution.


o Act as a resource person for all complaints submitted to both offices by overseeing proper resolution(s).


o Review cases with the Director of ORR, the Ombudsperson and their respective Associates to ensure that appropriate action or follow-up is taken on pending cases, dossiers and issues requiring their attention.


o Respond to and assess urgent cases involving threatening or violent conduct.


o Support informal resolution of conflicts through coaching, facilitated discussions, or referrals to appropriate campus resources.


o Coordinate communications and logistics for trainings, workshops, and events.


o Within their functions, foster constructive and effective relationships with University community members and stakeholders in promoting both offices' mandates under the Code and the Terms of Reference.


o Create statistical, case, and annual reports, incorporating visual elements such as graphs, tables, and diagrams.


o Identify emerging trends in community concerns, report on recurring issues and participate in discussions on policy improvements.


o Analyze and compare data and statistics from both offices to other similar programs and institutions to improve the strategies for raising awareness of promoting respect on campus.


o Participate in the development, implementation and maintenance of communication materials (publications, publicity, website, pamphlets, etc.) on behalf of both offices and ensure information is accurate and up to date. Distribute information materials according to schedule and as requested.


o Attend and represent both offices at the EXPLORE Services Fair and other internal or external events where the offices are represented.


o Maintain confidential case documentation and ensure data is managed in accordance with university policies and ethical standards.


o Research and implement the best practices in safety protocols for both offices on clients who pose a serious risk to themselves or others.


o Perform other duties as assigned by the Director of ORR, and the Ombudsperson and their respective Associates.



QUALIFICATIONS



o Bachelor's degree in Social Sciences or in a field related to the primary responsibilities and two to four years of experience working in a university environment, and/or experience in a conflict resolution role.


o Excellent interpersonal and communication skills, resourcefulness, initiative and strong client-service focus with the ability to deal firmly but politely with clientele.


o Ability to work well amongst students, faculty, and staff while administering and correctly interpreting policy provisions, procedures, and agreements.


o Well-developed listening, analytical, interpersonal and mediation skills.


o Very good knowledge (Level 5) of spoken and written English and good knowledge (Level 4) of spoken and written French to write and interpret detailed information, and deal with complex situations in both languages.


o Advanced knowledge of Word, Excel, Outlook and PowerPoint, to produce very large, complex, formal documents that require special elements; ability to use and create a wide range of graphic effects.


o Excellent organizational skills to effectively multitask, organize work, and set work priorities under time constraints.


o Experience in handling confidential information and situations with a wide variety of individuals with differing cultural backgrounds, political views and statuses within the University.


o Aptitude to work in a service-oriented environment as both a member of a team and autonomously and to be discreet when discussing/reviewing confidential information.


o Keen attention to detail, especially in written work, technical tasks, responding to deadlines and overall planning.


o Knowledge of Concordia's infrastructure is an asset.


o Knowledge of SAP and Student Information System (SIS) in an asset.
