Job Description

Overview


The Office/Personal Assistant will provide high-level administrative and organizational support to ensure smooth day-to-day operations across both business and personal priorities for two of the company owners. The role requires exceptional organizational skills attention to detail in the ability to manage multiple tasks simultaneously while maintaining confidentiality and professionalism.

Duties:



AdministrativeSupport:

Manage calendars, schedule meetings, and coordinate appointments. Occasionally, prepare reports presentations and meeting materials. Track deadlines, follow up on action items, and ensure priorities are met.
Office Management:

Organize office supplies, order inventory and liaise with vendors. Coordinate with external service providers (IT, facilities, office equipment etc). Support onboarding new employees (setup, paperwork & orientation). Maintain digital and physical filing systems. Deliver product in person to prospect customers when needed.
Travel and Event Coordination:

Arrange travel (flights hotels, itineraries). Manage expense, reporting and reimbursements. Assist with planning & execution of team events and/or conferences.
Personal Support (as needed):

Manage personal errands, reservations, and appointments. Oversee household or family related scheduling when required. Pick up drop off children to their appointments when needed.

Skills:



2 to 5 years of experience as an administrative assistant, personal assistant or office manager. Strong customer service orientation with excellent communication skills. Proficient knowledge of Microsoft Outlook Calendar, Microsoft Office Suite, and Google Workspace applications. Demonstrated organizational skills with the ability to prioritize multiple tasks effectively. Resourceful, problem, solver with the ability to anticipate needs Professional demeanour, discretion, and reliability Drivers license and clean driving record Ability to work independently as well as collaboratively within a team environment.

Pay: $46,000.00-$70,000.00 per year
