We are a licensed commercial facility with a focus on high-quality production and operational excellence. As we continue to grow, we are seeking a proactive, detail-oriented Office/Operations Manager to help support our day-to-day operations and maintain strong administrative systems.
Position Overview
The Office/Operations Manager plays a pivotal role in leading and supporting front-office and facility operations, with a strong focus on people management. This position requires a dynamic leader who excels in managing teams, fostering a positive and productive work environment, and ensuring smooth day-to-day administrative functions. Key qualifications include exceptional interpersonal and leadership skills, the ability to prioritize and delegate effectively, proficiency in Microsoft Office Suite--particularly Excel, Word, and Outlook--and a strong commitment to supporting internal teams and maintaining compliance workflows.
Key Responsibilities
Lead the creation and oversight of daily and weekly work orders
, ensuring optimal team scheduling and efficient task flow aligned with operational priorities.
Track and enter employee timesheet submissions
, promoting accountability and accuracy in time tracking.
Manage purchase requests and supply orders
, ensuring timely procurement aligned with budgetary guidelines.
Oversee the compilation and distribution of QA packages, SOPs, and internal workflows
, ensuring team adherence to quality standards and procedures.
Coordinate logistics for shipments and courier services
, providing leadership in documentation and communication to ensure smooth execution.
Lead staff hiring, coordination of monthly staff schedules, performance reviews, and administrative reporting
, driving team alignment and continuous improvement.
Support employee onboarding and benefits administration
, acting as a key point of contact for documentation and record accuracy.
Establish and maintain organized administrative systems
, both physical and digital, to support operational transparency and accessibility.
Maintain filing systems
using Microsoft Word, Excel, and SharePoint, fostering consistency and ease of access across teams.
Serve as the primary liaison with on-site team members and external service providers
, ensuring timely resolution of facility-related needs.
Qualifications
APPLICANTS MUST BE LOCAL AND CURRENTLY RESIDING IN THE LOCAL AREA (within 1-hour from facility). WE ARE NOT ACCEPTING LMIA OR FOREIGN WORKER APPLICATIONS. A MINIMUM OF 5 YEARS OF RELEVANT EXPERIENCE WITHIN CANADA IS REQUIRED.
Minimum 2 years of experience in an administrative, coordination, people or office management role
The ideal candidate will possess outstanding people management skills
Strong organization and task management abilities
Proficiency with Microsoft Word, Excel, and file management systems
Ability to learn new tools and processes quickly
Clear communication and attention to detail
Comfortable working independently in a fast-paced, deadline-driven environment
