We are seeking an organized, detail-oriented, and proactive Office & Marketing Coordinator to assist our mortgage brokers with day-to-day operations. This role will support a variety of administrative and marketing tasks, ensuring that our office runs smoothly and efficiently. The ideal candidate will thrive in a fast-paced environment, have a keen eye for detail, and be skilled in using social media tools.
Key Responsibilities
Provide front-desk and administrative support to mortgage brokers, including CRM updates and basic record management
Support marketing activities by creating visual content using design programs and managing social media accounts for the mortgage brokerage
Create, schedule, and post mortgage-related content on social media including rate updates, promotions, event highlights, and educational posts
Assist with generating social media content ideas aligned with mortgage products, services, branding, and compliance guidelines
Assist with planning and coordinating marketing events and office promotions
Edit short videos and visual content for social media and promotional use
Monitor social media engagement and direct inquiries or leads to the appropriate broker or team member
Perform general administrative duties including filing, organizing documents, data entry, and preparing basic reports
Maintain organized digital and physical office records
Support office efficiency by following and assisting with established administrative processes
Ideal Candidate
Organized and detail-oriented with the ability to multitask in a fast-paced office environment
Comfortable using Instagram, TikTok, YouTube and other social media platforms for business and marketing purposes
Familiar with Canva and basic video editing tools
Strong communication and customer service skills
Able to work independently as well as collaboratively within a team
Previous experience in a receptionist or administrative role is an asset
Requirements
Experience performing administrative or receptionist-level tasks in an office environment
Basic knowledge of Canva, social media platforms, and video editing tools
Ability to manage multiple tasks and meet deadlines
Professional, reliable, and able to handle confidential information
Qualifications
Education & experience in marketing support or social media management
Proficient in Microsoft Office (Word, Excel, Outlook)
