We are now seeking a
high-performing Office Manager
who can oversee operations across
both the OHIP family medicine
and
aesthetics/wellness
divisions, ensuring seamless patient flow and exceptional service from day one.
Position Overview
The Office Manager is the operational backbone of our clinic. This individual will manage the daily operations of the medical side, the aesthetics/wellness departments, and support a multidisciplinary team. This role requires a polished leader with strong organizational and problem-solving skills who can maintain an exceptional patient experience while driving operational efficiency.
Key ResponsibilitiesClinic Operations & Workflow
Oversee daily operations across
family medicine (OHIP), aesthetics, physiotherapy, and IV therapy
.
Manage schedules for physicians, aestheticians, nurse injectors, physiotherapists, and admin staff.
Ensure smooth patient flow with minimal wait times and a high-end service atmosphere.
Utilize
Arya EMR
and integrated AI workflows to optimize clinic efficiency.
Develop, maintain, and enforce clinic SOPs and ensure compliance with Ontario healthcare regulations.
Staff Leadership
Supervise and support reception, administrative staff, and aesthetics/wellness teams.
Participate in hiring, onboarding, training, and performance evaluations.
Foster a collaborative, supportive, and patient-centered workplace culture.
Patient Experience
Uphold the clinic's luxury, hospitality-driven standard of care.
Address patient questions and concerns with professionalism and discretion.
Monitor service delivery standards across all patient touchpoints.
Billing & Financial Oversight
Oversee
OHIP billing
, reconciliation, and error resolution.
Manage billing for
aesthetics, physiotherapy, IV therapy, and private wellness services
.
Prepare revenue reports, monitor KPIs, and support budgeting and financial planning.
Aesthetics & Wellness Coordination
Manage inventory for injectables, skincare, IV therapy supplies, and device consumables.
Coordinate usage and maintenance of
Lumenis
devices.
Support marketing promotions, memberships, consult workflows, and patient follow-ups.
Compliance & Safety
Ensure adherence to CPSO standards, infection control protocols, and all regulatory requirements.
Maintain documentation of sterilization, equipment checks, and safety protocols.
Qualifications
3+ years of experience in
medical office management
, aesthetic clinic management, or similar healthcare operations.
Strong knowledge of
OHIP billing
and medical administrative workflows.
Experience in aesthetics, dermatology, plastic surgery, or medspa environments is an asset.
Highly organized, proactive, and capable of multitasking in a fast-paced environment.
Excellent communication, leadership, and conflict-resolution skills.
Comfortable with EMRs (Arya preferred), scheduling platforms, and AI-enabled clinic tools.
Professional, polished demeanour with a passion for delivering luxury-level patient service.
