About the Role:

Roseland Dental seeking a highly organized and proactive Office Manager to oversee and coordinate our front-office administrative operations. This role is essential in ensuring smooth daily office functions, optimal patient flow, and effective communication within the practice. The ideal candidate will bring strong leadership, excellent communication skills, and a meticulous approach to office management and financial processes.

Key Responsibilities:

- Manage front-desk administrative duties, including patient scheduling, appointment confirmations, and cancellations to optimize patient flow.

- Handle all patient communications via phone and software (appointment reminders, recalls, follow-ups).

- Contact insurance companies to verify claims, obtain cost estimates, and manage patient payment and financing plans.

- Assist patients with understanding treatment plans and payment options while maintaining confidentiality and professionalism.

- Oversee billing processes, track outstanding balances, and ensure accuracy of financial records.

- Maintain and order office supplies, manage inventory, and ensure a clean, organized front office environment.

- Prepare and analyze day-end, month-end, and other operational and financial reports to monitor business performance.

- Coordinate and implement office procedures, policies, and documentation in compliance with privacy laws and internal standards.

- Plan and coordinate office services including equipment, supplies, maintenance, and security to support efficient operations.

- Collaborate on marketing initiatives such as managing online reviews and enhancing the digital presence of the practice.

- Support budget preparation, manage budget controls, and assist with project planning and administrative analyses when required.

- May delegate work priorities and supervise office support staff to ensure deadlines and quality standards are met.

Preferred Qualifications & Key Qualities:

- Minimum level of education required: Post Secondary

- Proven experience of 3+ years in office management, preferably in healthcare or similar service-oriented environments.

- Strong organizational and multitasking skills, with attention to detail.

- Excellent interpersonal and communication abilities to effectively interact with patients, insurance companies, and team members.

- Proficiency with administrative software and patient management systems.

- Ability to maintain confidentiality and demonstrate professionalism.

- Leadership skills and the ability to delegate and motivate a support team, if applicable.

- Problem-solving mindset and adaptability to implement new procedures efficiently.

- Basic financial acumen, including budgeting and billing processes.

- Customer service oriented with a collaborative approach to team success.
