Position Overview
The Office Manager / Administrator is responsible for ensuring the smooth and efficient operation of the office and administrative functions. This role supports store operations, management, and staff through organization, communication, record-keeping, and coordination of daily administrative activities.
Key Responsibilities
Office & Administrative Operations
Oversee daily office operations and maintain organized administrative systems
Manage filing systems, records, and documentation (digital and physical)
Ensure office procedures and workflows are followed and kept up to date
Communication & Coordination
Serve as a point of contact for internal staff, vendors, and external partners
Handle phone calls, emails, and correspondence in a professional manner
Coordinate scheduling, meetings, and administrative timelines
Financial & Data Support
Assist with invoicing, purchase orders, expense tracking, and basic bookkeeping support
Maintain accurate records related to inventory, suppliers, and administrative reporting
Support management with data entry, reports, and documentation as required
Compliance & Organization
Ensure office practices align with company policies and procedures
Assist with maintaining compliance-related records and documentation
Identify opportunities to improve administrative efficiency and organization
Skills & Qualifications
Previous experience in an office management or administrative role.
Experience with office hardware, including barcode printers and label or paper printers.
Excellent written and verbal communication skills.
Proficient in Microsoft Office, Google Workspace, Shopify (online & POS), Lightspeed, and CRM systems.
High attention to detail and accuracy.
Ability to work independently and as part of a team.
Experience with ShipTime, ShipStation or similar shipping applications is an asset.
