OFFICE MANAGER

to help us keep operations running smoothly and support our busy team.

Position Overview



As the Office Manager, you will play a key role in ensuring the day-to-day operations of our office are efficient and professional. You'll be the go-to person for administration, customer communication, bookkeeping, and health & safety coordination. This position requires someone who can juggle multiple responsibilities, stay organized, and thrive in a growing business.

Key Responsibilities



Front Desk & Reception: Greet clients, answer phones, manage emails, and direct inquiries. Lead Management: Enter, track, and follow up on leads and customer inquiries using our CRM system. Administrative Support: Prepare documents, maintain filing systems (physical and digital), and assist with scheduling and logistics. Health & Safety Coordination: Maintain compliance records, assist with safety documentation, and help coordinate training or site-specific requirements. Accounts Receivable & Payable: Process invoices, manage payments, reconcile accounts, and assist with basic bookkeeping tasks. Team Support: Provide administrative support to project managers, estimators, and field staff as needed. Office Supplies & Equipment: Monitor and order supplies and ensure the office environment is well maintained.

Qualifications



Proven experience in an office administration or management role (experience in construction or trades industry is a considered a priority asset) Strong knowledge of Microsoft Office Suite, and comfort with CRM or accounting software (e.g. QuickBooks, Buildertrend, etc.) Excellent communication skills - both written and verbal Ability to manage multiple priorities with a high level of accuracy and attention to detail Knowledge of health & safety practices and documentation (asset, but not required) Bookkeeping or accounting experience preferred
