Duties
Coordinate communication between dentists, hygienists, assistants, laboratories, and external service providers to support efficient patient care.
Carry out administrative activities related to patient intake, referrals, treatment planning, and insurance pre-authorizations.
Administer policies and procedures for releasing and protecting patient records in compliance with privacy legislation.
Oversee and coordinate daily administrative procedures of the dental office and implement improvements to scheduling, billing, and record-keeping systems.
Coordinate and plan office services including supply procurement, equipment maintenance, sanitation, facility access, and safety protocols.
Establish work priorities, delegate tasks to administrative staff, and ensure deadlines and procedures are followed.
Supervise administrative and records management staff, participating in hiring, onboarding, and performance reviews.
Conduct analysis and oversee operations related to budgeting, vendor contracts, service agreements, and operational planning.
Assist in preparing the operating budget and maintain inventory and budgetary controls.
Compile and prepare financial, operational, and compliance reports, manuals, correspondence, and patient communications.
Requirements
Minimum 1-year experience in office management or administrative roles with strong organizational skills
Supervising experience and team management capabilities
Proficiency in bookkeeping, payroll processing, and vendor management.
Extensive office experience including clerical tasks, filing systems, and multi-line phone systems.
Excellent communication skills with professional phone etiquette
Strong organizational skills with the ability to prioritize tasks effectively
Experience in human resources functions such as training & development and employee onboarding
Experience in a dental clinic setting will be considered an asset.
Demonstrated ability to manage multiple responsibilities simultaneously in a fast-paced environment
Prior experience with dental office software tools such as Tracker is preferred.

Pay: From $36.00 per hour
Expected hours: 30 - 40 per week
