We are seeking an energetic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient workplace environment. This role is vital in coordinating administrative functions, managing vendor relationships, supervising staff, and supporting overall office productivity. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a positive and professional atmosphere. As an Office Manager, you will play a key role in maintaining organizational efficiency while supporting team members across various departments.
Responsibilities
Oversee daily office operations, including front desk management, billing and scheduling for all providers.
Supervise administrative staff.
Manage vendor relationships, negotiating contracts and ensuring timely delivery of supplies and services.
Coordinate event planning for meetings and company functions.
Handle bookkeeping tasks such as invoicing, expense tracking, budgeting, and utilizing QuickBooks software for financial accuracy.
Support human resources functions including onboarding new employees, maintaining personnel records, and assisting with payroll processing.
Maintain organized filing systems, manage document retention policies, and ensure compliance with office policies.
Assist with medical or specialized office management duties if applicable, ensuring regulatory compliance and efficient patient or client service.
Skills
Proven experience in office management or administrative roles with supervisory responsibilities.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Excellent communication skills--both verbal and written--with professional phone etiquette.
Proficiency in QuickBooks for bookkeeping and payroll management; experience with budgeting is a plus.
Demonstrated ability to manage vendors and coordinate multiple projects simultaneously.
Knowledge of human resources procedures including onboarding, training & development, and employee relations.
Experience with event planning, calendar management, filing systems, and front desk operations.
Familiarity with medical office management or specialized administrative environments is advantageous.
