Wages

: $ 36.00-$37.00 per hour for 30-35 hours/week

Job Duties:



Oversee and coordinate daily administrative operations of the Kitchener real estate office to ensure smooth brokerage activities

Review, evaluate, and implement office administrative procedures to improve efficiency and compliance with real estate regulations

Establish work priorities, delegate tasks to administrative staff, and ensure deadlines and procedures are followed

Coordinate administrative support for real estate transactions, including processing listings, offers, contracts, and client documentation

Maintain and update office policies, procedures, and administrative manuals in accordance with company and regulatory standards

Coordinate office services such as reception, office space maintenance, equipment, supplies, security, and IT support

Assist in the preparation of the office operating budget and monitor expenses to ensure budgetary controls are maintained

Maintain inventory of office supplies, equipment, and marketing materials and oversee purchasing as required

Assemble and prepare periodic and special administrative reports, correspondence, and operational summaries for management

Oversee the maintenance and accuracy of client databases, CRM systems, and property listing records

Ensure proper filing, storage, confidentiality, and retention of client files, contracts, and brokerage records

Coordinate administrative support for realtors and brokers, including scheduling, meeting arrangements, and document preparation

Act as a liaison between management, real estate agents, clients, and external service providers

Administer policies and procedures related to privacy, confidentiality, and release of office records when required

Conduct analysis of administrative processes and recommend improvements to enhance office efficiency

Coordinate office projects such as system upgrades, process digitization, and workflow improvements

Monitor compliance with company policies and real estate regulatory requirements in administrative operations

Supervise and train administrative or records management staff when applicable

Ensure a professional and organized office environment to support client service and brokerage operations

Education

: Completion of a college diploma of 1-2 years in a business administration is required .

Work Experience

: 1-2 year of experience in relevant field.
