Quantum Industrial Solutions is a fast-growing infrastructure rehabilitation contractor specializing in industrial coatings, SIPP linings, and trenchless technologies across Western Canada. We are looking for a
full-time Office Manager
who can take charge of the office, create order, and support operational excellence as we scale.
This is not a receptionist job.
This is a
high-responsibility operational role
for a person who thrives in a fast-paced environment and can keep a busy construction office running smoothly end-to-end.
What You'll Own
You are the central command point for the office. Your responsibilities include:
Office Operations
Run the front office: phones, email inboxes, scheduling, meeting coordination.
Organize travel, hotels, flights, and logistics for crews and management.
Oversee all incoming and outgoing mail, shipments, equipment deliveries.
Maintain a clean, organized, well-run office environment.
Administrative & Operational Support
Support project managers with documents, formatting, printing, and data input.
Prepare and track POs, packing slips, supplier forms, safety documents (as needed).
Manage order confirmations and vendor communications.
Coordinate onboarding paperwork and training scheduling for new staff.
Communication & Coordination
Ensure timely, professional communication internally and with clients and suppliers.
Route quote requests, information inquiries, and scheduling updates to the right people.
Maintain visibility on all active office tasks and ensure nothing slips through the cracks.
Process & Systems
Maintain organized digital files using SharePoint and Teams.
Improve office systems, workflows, and administrative efficiency.
Monitor and enforce office standards, policies, and documentation requirements.

Required
Proven experience in
office management or administration
(construction, industrial services, or trades environment strongly preferred).
Strong email, phone, and written communication skills.
High level of organization and ability to manage competing priorities.
Confidence and professionalism dealing with employees, clients, and vendors.
Microsoft 365 proficiency (Outlook, Teams, SharePoint, Word, Excel).
AI integration into systems, process
Ability to work independently, take ownership, and keep the office running without constant direction.
Preferred
Experience supporting field crews or project managers.
Familiarity with purchase orders, project files, safety documentation, or job-costing support.
Exposure to AR/AP or basic bookkeeping (not required, but an asset).

What We Offer
Competitive salary:
$58,000-$78,000 per year
(depending on experience).
