Job Summary
The Office Manager oversees general office and administrative support as well as some property management duties. Our client is a small, high-performance team working together on infills and multi-family projects. We are looking for the right person to join our team who believes that every neighbourhood can benefit from revitalization, every project is unique, and every client deserves quality.
Requirements
5 or more years of office administration experience
Experience working in a small business environment would be strongly considered an asset
Flexible schedule to suit the day to day needs of the role
Good communication skills and ability to 'problem solve'
Critical thinking, good judgement and decision making skills
Client service oriented
Quality oriented with high attention to detail
Ability to multitask
Collaborative and willing to learn in a fast-paced environment
Teamwork and leadership skills
Basic knowledge of Microsoft Office including Outlook, Word, Excel and One Drive
Experience with property management is not required but would be considered an asset
Understanding of legislation such as Residential Tenancies Act, Real Estate Act and other applicable standards is not required but would be considered an asset
Responsibilities
Conduct administrative duties such as answering phones and emails, filing, managing office supplies and data entry
Generate documents, spreadsheets, letters, etc.
Obtain and record quotes on a continuous basis to ensure vendor pricing is up to date
Support with administrative tasks such as material orders, City documentation, scheduling permitting and procedure developments
Prepare and process leases, renewals and tenant paperwork with the goal of retention and occupancy through market fluctuations
Facilitate marketing such as showings, advertisements, interviews / screening
Manage tenant move in / out
Maintain accurate tenant records and property documentation
Coordinate with trades and site supervisors on basic property maintenance and repairs as needed
Engage in various forms of communication with clients, to neighbours, trades, tenants, city officials etc.
Assist with warranty division
Coordinate and attend weekly meetings with the team
Other duties and responsibilities as required
Position Conditions
90% office based, 10% travel to project sites in Edmonton area
Valid driver's licence and access to reliable vehicle
Employees are required to use their own vehicle to travel between project sites and office
Occasional evening and weekend availability to support ad hoc issues or incidents that may arise at properties outside of working hours is required
