Position Overview:
We are seeking a proactive and highly organized
Office Manager
to lead the administrative operations of our head office. This role is critical to ensuring the smooth day-to-day functioning of the office and supporting the executive, finance, operations, and field teams. The ideal candidate will bring a strong mix of administrative leadership, attention to detail, and a hands-on approach to problem-solving.
Key Responsibilities:
Administrative Operations
Oversee daily administrative activities, including correspondence, filing, scheduling, and supplies management
Maintain company records and documentation, both physical and digital
Manage office services such as utilities, security, vendors, and insurance
Executive Support
Provide administrative assistance to senior leadership, including calendar management and travel coordination
Prepare reports, presentations, and correspondence as needed
HR & Payroll Coordination
Support onboarding of new hires and maintain employee records
Liaise with payroll and benefits providers
Assist with time tracking, PTO coordination, and team communications
Financial & Project Support
Assist with invoicing, expense tracking, and coordination with the accounting team
Track project documentation (contracts, change orders, invoicing, safety records) and ensure filing consistency
Communication & Culture
Serve as the point of contact for internal and external stakeholders
Help foster a positive, productive, and respectful office environment
Support company events, team meetings, and training coordination
Qualifications:
3-5 years of experience in office administration or management (construction or industrial services experience is an asset)
Strong organizational and multitasking skills
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and comfort with cloud-based file systems (e.g., OneDrive, SharePoint)
Excellent verbal and written communication
Ability to work independently and handle confidential information
Bookkeeping or accounting support experience considered a strong asset
Knowledge of construction documentation (P.O.s, submittals, contracts) is a plus
