The Office Manager will provide comprehensive operational leadership for a busy law firm during a 12-month maternity leave coverage period. This role is responsible for maintaining smooth day-to-day office operations, overseeing administrative support functions, and managing the full hiring and onboarding process for staff and support roles. Working closely with legal and administrative teams, the Office Manager ensures that workflows, client service standards, and internal processes run efficiently and in accordance with firm policies.
The Office Manager will also serve as the primary administrative point of contact for the firm owner, providing regular operational updates, preparing reports, and supporting strategic initiatives as needed. Key responsibilities include coordinating staff schedules, supervising administrative personnel, managing vendor relationships, maintaining office systems and supplies, and implementing office policies and procedures.
This temporary role requires a proactive, highly organized professional with strong communication skills, sound judgment, and the ability to adapt within a fast-paced legal environment. The Office Manager ensures continuity, stability, and high-quality support to the firm throughout the maternity leave period.
Office Management:
Supervise the workflow of non-lawyer team members
Ensure the firm's systems are documented and followed
Oversee the day-to-day work of intake, pre-litigation, and litigation departments to ensure all goals are met, as well as create efficiencies in the departments' operations
Financial Management:
Ensure that the firm's financial goals are met by managing the billable goals on a monthly, quarterly, and annual basis
Marketing and Business Development:
Help oversee the planning and execution of new and existing marketing events/initiatives (motorcycle shows, charitable initiatives, etc.)
Attend monthly marketing meetings
Human Resources Management:
Oversee hiring for the firm
Train, supervise, evaluate employee performance, and recommend promotions and disciplinary actions
Enforce the firm's policies.
Customer Service Management:
Oversee client experience to ensure clients receive excellent service, as well as legal and ethical requirements are met
Develop strong and close relationships with clients and internal team
Experience:
3-5 years of management experience leading teams
Experience providing exceptional client care
Understanding of financial statements
Entrepreneurial spirit is a must. We want a "go-getter"
Strong organizational skills and flexible to adapt to changing business needs
Experience working in a legal field is an asset
