As a vital part of the Operations team, this role specifically will be an in-office position.

We are looking for a positive, energetic and outgoing Office Coordinator to hold a fundamental position on our team. The right fit is an individual who is upbeat and positive, a great communicator, confident, proactive, professional, detail-oriented, and people-focused. Being highly organized and a problem solver is key, as is the ability to execute and manage multiple tasks from start to completion. This is a generalist role that requires a high degree of flexibility and adaptability as the duties can fluctuate greatly day-to-day, from running a team event to fixing a dishwasher catastrophe! What does a day look like in my role? We get it: You want to know what you\'re signing up for before you apply, right? As the Office Coordinator, you\'ll be responsible for: Administration:
  • Reception: greeting our team and visitors and being omnipresent at our front desk.
  • Managing the office mail, orders and deliveries (incoming and outgoing).
  • Assisting the Operations team with general administration tasks.

Facilities:
  • Coordinating the in-office food and beverage program, which includes ordering and stocking a snack wall, fruit, and a variety of cold and hot beverages.
  • Ensuring both kitchen areas are organized and clean throughout the day.
  • Maintaining the general office esthetics, organization and cleanliness, and ensuring everything runs smoothly.
  • Coordinating with building management, cleaning staff and external vendors with various requests for our office and general maintenance.
  • Ordering office supplies and equipment.
  • Communicating any building announcements to the team, such as fire drills or closures.
  • Ensuring all the office storage spaces are orderly.
  • Maintaining the office seating chart and coordinating office re-orgs.

Events:
  • Organizing various team social events throughout the year such as holiday parties, in-office lunches, happy hours, quarterly team events, leadership summit, etc.
  • Assisting with the various external events that Redbrick hosts throughout the year.

Additional:
  • Assisting the Operations team with expense reimbursements when requested.
  • Various ad hoc requests such as supply pickups, ordering employee gifts, picking up catered lunches, etc.

  • You maintain a professional attitude combined with discretion and diplomacy when working with confidential information.
  • Having worked in any industry in an operational role previously is an asset.
