Here\'s what you\'ll be doing....

You\'ll be primarily responsible for providing project management and administrative support to the CEO and the Senior Leadership Team.

You will be an important member of our group, a resourceful roll-up your sleeves self-starter who is detail-oriented and forward-thinking, with excellent organizational and problem-solving skills. You will exercise good judgment, excellent coordination skills and show initiative to support multiple activities on behalf of the Press.

*For this position, we currently have the option of working totally in office or in a hybrid model.

Key Responsibilities include:

  • Research, prioritize, and follow-up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature and determine appropriate course of action.
  • Administration and preparation of various confidential documents (e.g. reports, presentations, information requests, etc.)
  • Perform other administrative office duties such as maintaining various hard files and electronic records; photocopying; mailing and maintaining office equipment and supplies; and provide ongoing troubleshooting support to team members as it relates to minor technical queries.
  • Prioritize conflicting needs, handle matters expeditiously and proactively, often with deadline pressures.
  • Build excellent relationships across the organization and the University, including partnering with internal and external stakeholders.
  • Preparation and coordination of meetings and events such as Town Halls, Senior Leadership Team meetings, offsites and other meetings.
  • Partner with vendors and stakeholders for invoice processing and relationship building.
  • Board support and liaison:
o Coordinate board packages for all board and committee meetings with board members and management as required.
o Prepare draft minutes for all board and committee meetings.
o Maintain discretion and confidentiality in relationships with all board members.
o Provide technical and logistical support for Board members and Board meetings.
  • Support to Human Resources (HR work assigned will depend on incumbent\'s experience):
o Manage administration of our annual staff compliance sign offs
o Manage and administer our Service and Recognition Awards programs.
o Support the annual merit process through coordination of employee letters.
  • Take on special projects as needed (projects assigned will depend on incumbent\'s experience)
  • Participate fully as a member of the team and contribute to a positive and inclusive work environment.
Education, Qualifications, and Experience:
  • Post-secondary education (college or university) is preferred.
  • 5+ years of experience supporting senior leaders within a fast-paced professional environment.
  • Some experience in publishing or a creative environment would be an asset.
  • Experience supporting a Board is an asset.

  • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, Board members, and external partners.
  • Resilient, resourceful, and flexible in adapting to changes in the leader\'s accountabilities, projects, and priorities and able to devise contingency plans as needed.
  • Excellent organizational and prioritization skills that reflect the ability to perform and prioritize multiple tasks seamlessly, with a high level of accuracy and attention to detail.
  • Expert level written and verbal communication skills.
  • Demonstrated initiative-taking approach and problem-solving with excellent decision-making capability.
  • Delivers quality materials on-time with a positive can-do attitude.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward looking and thinking, actively seeks opportunities and proposes solutions.
  • Advanced proficiency in MS office skills (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat Pro, Share point and Teams with the proven ability to learn new systems.
