Salary: $65,217 - $84,783

Reporting to the Senior Manager of Human Resources, the Office Coordinator is an administrative professional responsible for ensuring that the office operations run smoothly in support of other business activities. This position will serve by greeting, welcoming, and directing visitors and ensure a positive first impression. This position will be managing the flow of the office, as well as creating processes and systems to enhance daily office and clerical tasks. Position Description

  • Welcome visitors and internal employees with a welcoming disposition.
  • Deal with customer complaints or issues.
  • Follow office workflow procedures to ensure maximum efficiency.
  • Maintain files and records with effective filing systems.
  • Maintain a clean and organized office environment.
  • Schedule agendas/travel arrangements/appointments etc. for the upper management
  • Manages board and meeting room bookings.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Manage fleet vehicles processes and ensure regular maintenance and issues are dealt with promptly.
  • Maintain office equipment (aka ensure copiers are operational and fully stocked with toner, paper, etc.)
  • Monitor office supplies inventory and place orders.
  • Support meeting and conferencing needs
  • Assists all departments with data entry and administrative support when necessary.
  • Keeps meeting minutes and documents action items where required.
  • Responsible for office mail processes.
  • Other administrative and support duties as assigned.
Education and Experience Post-secondary education in Office Administration, Business Administration, or related field with one year experience as an administrative assistant. An equivalent level of experience and education may be considered. Successful candidates in this position may come from a variety of academic and/or experiential backgrounds, however demonstrating a passion for improving housing and infrastructure outcomes on reserve lands is mandatory.   • Familiarity with industry-standard technologies, software applications, and cloud services.
  • Ability to work independently and prioritize tasks effectively.
  • Embrace challenges and areas of rapid growth.
  • Requires keen attention to detail and careful, measured action and the ability to manage multiple priorities and meet deadlines.
