Job Title Office Coordinator

Summary Energetic and efficient front desk and office support person to work in operations for a commercial real estate services company within the Montreal Area. The candidate will work closely with the Operations Manager, Managing Principal and fee-earners (brokers) within the market to provide support and implement strategic initiatives. Opportunity to work in both the downtown and Saint-Laurent locations.

Le candidat travaillera en \xc3\xa9troite collaboration avec la directrice des op\xc3\xa9rations, le directeur g\xc3\xa9n\xc3\xa9ral et les courtiers au sein du march\xc3\xa9 afin de fournir un soutien et de mettre en \xc5\x93uvre des initiatives strat\xc3\xa9giques. Possibilit\xc3\xa9 de travailler \xc3\xa0 la fois au centre-ville et \xc3\xa0 Saint-Laurent.



Principales responsabilit\xc3\xa9s

Op\xc3\xa9rations du Bureau

  • Assurer des t\xc3\xa2ches de soutien administratif pour le directeur g\xc3\xa9n\xc3\xa9ral et / ou responsables de service
  • Entrer les notes de frais
  • Compl\xc3\xa9ter la routine / correspondance, saisir des donn\xc3\xa9es, imprimer des lettres, imprimer des \xc3\xa9tiquettes, cr\xc3\xa9er des lettres types, formater des documents et saisir des donn\xc3\xa9es, traduire de courts documents
  • Soutenir les op\xc3\xa9rations de la salle du courrier (c.-\xc3\xa0-d. tri du courrier, machine \xc3\xa0 affranchir, t\xc3\xa9l\xc3\xa9copieurs et photocopieurs)
  • Aider \xc3\xa0 la planification et \xc3\xa0 la coordination des pr\xc3\xa9paratifs de voyage de base
  • Organiser et assister aux r\xc3\xa9unions et \xc3\xa9v\xc3\xa9nements internes au besoin
  • Coordonner la restauration, l\'espace de la salle de conf\xc3\xa9rence, les invitations et autres activit\xc3\xa9s de planification d\'\xc3\xa9v\xc3\xa9nements au besoin
  • S\'assurer que les politiques de l\'entreprise sont suivies
Accueillir / diriger les visiteurs
  • G\xc3\xa9rer la r\xc3\xa9ception en fournissant un acc\xc3\xa8s au b\xc3\xa2timent (si n\xc3\xa9cessaire) et en avisant les employ\xc3\xa9s que le client, le fournisseur ou le candidat \xc3\xa0 l\'emploi est arriv\xc3\xa9
  • Communiquer avec le personnel des op\xc3\xa9rations, les courtiers et le directeur g\xc3\xa9n\xc3\xa9ral concernant leur disponibilit\xc3\xa9
  • Fournir une carte de stationnement / validation au besoin
Gestion / Administration des fournisseurs
  • G\xc3\xa9rer les achats et l\'entretien des fournitures de bureau et de l\'\xc3\xa9quipement de bureau (c.-\xc3\xa0-d. mobilier, \xc3\xa9quipement informatique, t\xc3\xa9l\xc3\xa9phones, services de collations, etc.) en passant commande via Workday, les achats ou un fournisseur externe
  • Entrer tous les nouveaux fournisseurs locaux dans Workday et nettoyer les donn\xc3\xa9es, si n\xc3\xa9cessaire
Gestion des appels
  • R\xc3\xa9pondre et filtrer tous les appels entrants et transmettre les messages pour deux bureaux.
  • Communiquer des informations g\xc3\xa9n\xc3\xa9rales sur l\'entreprise
  • Communiquer avec le personnel des op\xc3\xa9rations, les salari\xc3\xa9s et le directeur g\xc3\xa9n\xc3\xa9ral
  • Traiter les appels avec discr\xc3\xa9tion \xc3\xa0 la demande du personnel des op\xc3\xa9rations, des salari\xc3\xa9s et du directeur g\xc3\xa9n\xc3\xa9ral

  • Travailler avec le directeur des op\xc3\xa9rations sur les questions de continuit\xc3\xa9 des affaires
  • Aide \xc3\xa0 l\'int\xc3\xa9gration des nouveaux employ\xc3\xa9s

  • Pr\xc3\xa9paration documents (r\xc3\xa9vision, impressions, reliure)

  • Bilingue fran\xc3\xa7ais/anglais, comp\xc3\xa9tence de base en traduction anglais-fran\xc3\xa7ais est un atout

Key responsibilities

Office Operations
  • Provide administrative support duties for Market Leader, and/or other department leaders
  • Enter expense reports
  • Complete routine/correspondence, enter data, print letters, print labels, create form letters, format documents, and input data
  • Support mail room operations (i.e., mail sorting, postage machine, fax and copy machines)
  • Assist in planning and coordination of basic travel arrangements
  • Organize and assist internal meetings and events as required
  • Coordinate catering, conference room space, invitations, and other event planning activities as needed
  • Ensure company policies are followed
Greet / Direct All Visitors
  • Manage front desk by providing building access (when required) and notifying the employees that client, vendor or job candidate has arrived
  • Communicate with operations staff, brokers, and Market Leader regarding their availability
  • Provide parking pass/validation per request
Vendor Management / Administration
  • Manage purchasing and maintenance of office supplies and office equipment (i.e., furniture, IT equipment, telephones, snack services, plants, etc.) by ordering through Workday, procurement, or outside vendor
  • Enter all new local vendors into Workday and cleanse data, if required
Manage Phones
  • Answer and screen all incoming calls and relay messages for 2 offices
  • Communicate general company information
  • Communicate with operations staff, fee-earners, and Market Leader
  • Handle calls with discretion per the request of the operations staff, fee-earners, and Managing Principal
Other Administrative Duties
  • Work with Operations Manager on business continuity issues
  • Assistance with onboarding new employees
  • Order business cards
  • Document preparation (review, print, bind)
  • Other duties as assigned

BACKGROUND AND EXPERIENCE

Demonstrated experience should include:
  • College degree preferred
  • Bilingual French/English, basic English-French translation skills an asset
  • Very good written and oral communication skills in both languages
  • A minimum of 2-4 years of administrative support experience
  • Front desk experience a plus

  • Ability to deal and communicate effectively with all levels of staff and management
  • Strong written and oral skills
  • Strong Microsoft Office Suite skills, Workday knowledge an asset
