We are currently seeking an experienced

Office Coordinator

to join our team at our Halifax (Bayer's Lake)

Minuteman Press

location. As the ideal candidate, you will play an essential role in our daily operations while working closely with two other team members.

This position is part of a highly collaborative, small-office environment where everyone supports each other. You will share customer service responsibilities, including management of the general shared inbox. Strong communication, teamwork, and flexibility are essential for success in this role. As an ideal candidate, you thrive in a fast-paced environment, excel at multitasking, solve problems proactively, and consistently deliver exceptional customer service.

Key Responsibilities



1. Front Desk Management



Greet clients and visitors with a warm, professional, and friendly demeanor. Maintain a clean, organized, and welcoming reception area.

2. Customer Service



Provide outstanding customer service by responding to inquiries (phone/walk-in and email), resolving issues, preparing quotes and answering questions all while ensuring a positive client experience. Assist customers with payments, order pick-ups, invoicing, and general information regarding our printing, signage, and promotional products. Support general walk-in customers' needs and share customer service responsibilities as part of a cooperative team dynamic.

3. Estimating & Pricing



Prepare accurate estimates for print jobs, small-format signage, embroidery, and promotional items. Work closely with clients to understand job specifications and ensure pricing aligns with project requirements. Collaborate with the production team to confirm materials, timelines, and cost details.

4. Administrative Support



Assist with shared administrative responsibilities to support the flow of the office. Perform general administrative duties including filing, daily deposits, delivery scheduling, and follow-ups. Order stock and supplies from vendors as required.

5. Communication



Communicate effectively with team members to support smooth and efficient daily operations. Relay messages promptly and assist in both walk-in and phone inquiries. Maintain open, collaborative communication in a team-oriented environment where everyone assists one another.

Requirements



1-2-year previous experience working in the printing industry or similar role is required. Exceptional customer service skills with a friendly and approachable attitude. Strong organizational and multitasking abilities. Proficient with office equipment and computer software (MS Office, email, etc.). Ability to work independently and collaboratively in a fast-paced environment.
Job Type: Full-time

Pay: $18.00-$25.00 per hour

Expected hours: 40 per week
