The Opportunity



We are seeking a highly organized and proactive Office Coordinator to join our team. This vital role involves managing daily office operations and ensuring smooth administrative workflows. The ideal candidate will possess strong communication and organizational skills, with experience in office administration. The Office Coordinator will serve as the central point of contact for vendors, staff, and clients, supporting the overall efficiency of our office environment.

Responsibilities



Answer incoming phone calls and respond to emails in a professional and timely manner. Schedule and dispatch HVAC technicians for service calls. Coordinate communication between technicians, management and other departments. Assist the Service Manager with preparing quotes and processing service invoices. Support accounts receivable tasks and assist with billing inquiries Process warranty claims and handle related phone calls and documentation. Order office supplies and maintain a clean, organized office environment. Assist all departments with various projects, including gathering documents and administrative support.

Qualifications



Experience or knowledge in the HVAC industry is considered an asset. Ability to work both independently and collaboratively in a team environment. Proficient with computers and general office software. Strong organizational and time-management skills. Ability to manage multiple tasks while handling frequent interruptions. Excellent communication and problem solving skills. Excellent customer service.
