Camp Yowochas: Camp Yowochas, owned and operated by YWCA Edmonton, has been providing camping programs since 1916. Our camp is situated in Fallis, on the beautiful shores of Lake Wabamun, and we offer outdoor education, recreation, and leadership development opportunities to schools and youth groups from all over Alberta throughout the year. In July and August, we run our summer camp programs, which include day camps, overnight camps, and leadership programs.
Job Summary: YWCA Camp Yowochas is currently seeking an Office Coordinator to manage the daily administrative tasks of the camp. The successful candidate will be responsible for overseeing front desk operations, responding to inquiries, and keeping client databases updated. Additionally, they will be responsible for maintaining a professional and clean office environment and ensuring that the office operates smoothly with a high level of organization and efficiency.
Employment Type: Temporary, Full-time (37.5 hours/week), hours typically between Monday ? Friday until August 26, 2023. Some additional after hours or weekend work may be required.
Job Responsibilities:
Receive and respond to incoming calls, emails, and requests for information.
Assist with drop-in inquiries and lead tours as needed.
Support summer camp registrations, including managing camper database and processing data
entry.
Process user group bookings, including managing user group database and calendar, following up
on tentative bookings and deposits due.
Provide clerical assistance as assigned.
Order and monitor office supplies within budget.
Collect and distribute mail, email, and faxes.
Maintain databases of clients, staff, supporters, and suppliers.
Keep the office in a professional state, including cleaning up after others.
Clean, sort, and organize all lost and found items.
Organize and file all user group documents.
Provide administrative support to the camper subsidy program.
Invoice, receive, and acknowledge payments.
Manage accounts receivable by following up on outstanding payments and preparing invoices for
future payments.
Monitor and reconcile petty cash.
Ensure the security of financial and confidential information.
Qualifications:
Excellent organizational and time management skills to handle multiple tasks and meet deadlines.
Strong communication skills to interact effectively with clients, staff, and suppliers via phone,
email, and in-person.
Proficiency in Microsoft Office Suite and other relevant software to manage databases,
spreadsheets, and financial records.
Detail-oriented with high accuracy to maintain records and produce error-free reports.
Experience in managing financial transactions, including accounts receivable, invoicing, and petty
cash.
Maintain confidentiality and ensure data security.
Customer service skills to provide prompt and professional assistance.
Flexibility to adapt to changing work requirements and priorities.
Positive attitude and ability to work independently or as part of a team.
Previous experience as an office coordinator or in a similar administrative role is preferred, but not
required.
