Wright's Marina is a small, full-service marina nestled in the Byng Inlet of Northeast Georgian Bay. Our parent company, Hindson Marina is a large, full-service marina nestled in the southwest corner of beautiful Penetanguishene Harbour. Position Overview
We are seeking a professional and detail-oriented Office Coordinator to join our team in the marine industry. This position is the first point of contact for customers and visitors, responsible for providing excellent service while supporting our management team with administrative and accounting tasks. The ideal candidate will be highly organized, personable, and comfortable managing a variety of responsibilities in a fast-paced environment.
Key Responsibilities (overall)
Follow all Marina policies and procedures (e.g., health and safety, environmental, time off)
Strive to meet Marina's customer service standards
Schedule service and work order management
Uphold confidentiality and accuracy in all financial and administrative matters
Provide exceptional, friendly and professional customer experience to all marina patrons
Respond to customers' inquiries in person, by phone and/or email
Maintain and organize high volume data entry and processing
Assist with all administrative functions related to Spring Launch and Fall Haul Out
Assist with all administrative functions related to service work, work order creation, and service billing
Receive inventory and enter vendor and supplier invoices
Reconcile rental payments and sales to ensure accurate and current information
Maintain records to help prepare year-end records for Accountant
Reconcile daily tills, PICON and maintain float
Prepare cash bank deposits
Retain accurate customer profiles, both paper and electronic
Operate all office equipment and office machines
Carry out any additional duties that may be requested by management
Reception & Administrative Support
Answer and direct incoming phone calls, emails, and customer inquiries in a professional manner.
Greet and assist customers, vendors, and guests visiting the marina or office.
Provide administrative support to the Service Manager and General Manager, including document preparation, and correspondence
Manage booking accommodations and housekeeping for Air BnBs, as required
Maintain office supplies, filing systems, and general organization of the reception area
Accounting Support
Perform data entry for accounts payable and accounts receivable
Invoicing, processing payments, and reconciling accounts
Support monthly financial reporting and documentation
Maintain accurate records of transactions and assist with audits as required
Prepare bank deposits and handle petty cash when needed
Qualifications
Previous experience in reception, office administration and accounting support required
Must be available to work flexible hours Monday to Friday, including rotating weekends and holidays
Must have inventory experience in marine or automotive industries
Post secondary education in general accounting an asset
Strong organizational and multitasking skills with attention to detail
Proficiency in Microsoft Office (Word, Excel, Outlook); experience with accounting software (e.g., QuickBooks, Sage, or similar) preferred
Must work well as a team and individually in a professional manner
Strong verbal and written communication skills
Must be detail-oriented and demonstrate a high degree of accuracy
Ability to multi-task in a fast-paced environment
Knowledge of nautical terminology or the ability to learn quickly
Ability to work independently as well as part of a team.
Working Conditions
Required to move, lift, carry, pull, and place objects weighing less than or equal to 30lbs without assistance
Stand, sit, or walk for an extended period or for an entire shift
Reach overhead and below the knees, including bending, twisting and pulling
Move over sloping, uneven, or slippery surfaces
May encounter excessive noise from boat engines and equipment
Will encounter noxious smell from wastewater, gasoline and diesel fuel
Will encounter hazardous materials, dangerous or toxic substances and chemicals
Office environment with regular interaction with marina operations and customers
Occasional extended hours during peak boating season
