The Office Concierge II is responsible for transitioning new hires into the program and coordinating back-up support during vacations and other absences. The Office Concierge II will perform day-to-day facility management services.KEY DUTIES & RESPONSIBILITIESAdministrative\xc2\xa7 Receive and process service requests via RealSuite and close it when completed.\xc2\xa7 Respond to inquiries and calls regarding operations-related issues.\xc2\xa7 Create computerized work orders, ensure execution and update status.\xc2\xa7 Perform various inventories, stationary supplies, furniture, artwork.\xc2\xa7 Ensure the Health and Safety standards are met at all times.\xc2\xa7 Accompany trades and guests when required.Cleaning ServicesThe team member will be responsible for some light services to ensure a clean and healthy physical environment that supports Office activities and events.\xc2\xa7 Meeting rooms:o Perform on a daily basis, inspections to ensure cleanliness and functionality of equipment (i.e. projectors, telecommunications equipment, etc.)o Perform inspections post lunch catering of meeting rooms to ensure disposal and removal of food items and general tidiness (usually around 1h to 1h30pm).o Clean whiteboards on a weekly basis.o Catering deliveries.\xc2\xa7 Lunch and copy rooms:o Ensure cleanliness of rooms and functionality of equipment on a daily basis.o Clean out refrigerators and microwaves on a daily basis.\xc2\xa7 Ground floor:o Ensure cleanliness of premises after catered events.Planning and Developing\xc2\xa7 Managing minor room setups for events.\xc2\xa7 Assist the ground floor program team for events during and after business hours.\xc2\xa7 Execute minor office moves.\xc2\xa7 Assist Facilities Coordinator and occasionally provide recommendations in space planning, design and layout for minor reconfigurations and moves.\xc2\xa7 Provide timely information to Facilities Coordinator to ensure maintenance of updated floor plans.Facility Services\xc2\xa7 Maintain up to date inventory list of furniture and Personal Protection Equipment (PPE) in storage.\xc2\xa7 Maintain up to date inventory list of artworks.\xc2\xa7 Assist in stocking the office supplies in the copy rooms.\xc2\xa7 Replenish, clean and manage the supplies required for the coffee stations (coffee, sugar, cups, etc.) on the floors (supplies will be provided by the client).\xc2\xa7 Perform minor repairs and spot maintenance such as acoustic ceiling tiles, doors, locks, etc.\xc2\xa7 Coordinate maintenance and repair work performed by suppliers and Landlord\'s technical teams.\xc2\xa7 Ensure the facilities meet the requirement of the Health and Safety regulations (cable management, chairs in good working order, etc).\xc2\xa7 Be the main contact for Xerox or other service providers, when required.\xc2\xa7 Perform office and furniture moves including furniture installation, assembly and disposal.\xc2\xa7 Estimate and perform client requests.\xc2\xa7 Move equipment, boxes and large items.\xc2\xa7 Lift heavy equipment (20 lbs).\xc2\xa7 Install name plates.\xc2\xa7 Inspect, repair and install signage infrastructure and equipment.\xc2\xa7 Change/adjust locks.\xc2\xa7 Unlock cabinets and drawers.\xc2\xa7 Provide services for client events - Head Office and 800 RL premises.\xc2\xa7 Any other tasks related.KNOWLEDGE & SKILLS\xc2\xa7 College diploma.\xc2\xa7 3 years\' experience in customer service, handy man or similar field.\xc2\xa7 Interpersonal skills in both internal team settings and client-facing situations.\xc2\xa7 Good knowledge of Microsoft Word & Excel.\xc2\xa7 Well organized/detail oriented and strong problem-solving skills.\xc2\xa7 Ability to work under pressure and with tight deadlines.\xc2\xa7 Ability to work independently and in a team environment.\xc2\xa7 Ability to work in a multitasking environment and manage priorities.\xc2\xa7 Manually agile.\xc2\xa7 Excellent written and spoken communication in both official languages (English and French).Licenses and/or Professional Accreditation\xc2\xa7 None.BGIS is an equal opportunity employer and we welcome you to apply for a position with us!
