We are currently looking for a Full-Time Office Assistant at our Head Office location.

Objective

To be executive assistant to the President, to assist the accounts receivable department with collections, to assist the marketing department with promotions and website data integrity, to be supplies coordinator for the head office and six retail stores, to be the training centre coordinator and to perform all other office assistant duties.

Executive Assistant

- organize events and travel arrangements

- manage the Presidents email

- manage the Presidents calendar appointments

Accounts Receivable Assistant

- creating weekly credit note reports

- following up with operations regarding unsent credits

- following up with vendors regarding unpaid credits

- monthly reconciliation of credit notes

- monthly reconciliation of credit allowances

- preparing the bank deposit book

Marketing Assistant

- creating, emailing and mailing promotional offers

- maintaining the image integrity of the website

- maintaining the item description integrity of the website

Supplies Coordinator

- managing the office supply cabinets and the supply room

- liaise with the stores regarding supplies requests

- order office and stores supplies

- receive and distribute office and stores supplies

- some physical work required: must be able to lift 40lb; must be ok with stairs

Training Centre Coordinator

- booking and preparation for company communication meetings and company trainings

- liaise with vendors to book dinner trainings, seminars, webinars and tele-trainings

- maintain training calendar

- communicate with the store's team members regarding meals, attendance and availability

Office Assistant

- collect and distribute mail to/from stores

- assist accounts payable with weekly filing

- sort, count and mail coupons

- maintain kitchen cleanliness

- liaise with the office cleaners

Other duties as assigned by the President or the Director of Finance.

Applicants must be legally able to work in Canada for at least the next 12 months.

Job Type: Full-time

Pay: $35,000.00-$40,000.00 per year

Flexible language requirement:

• French not required

Schedule:

• 8 hour shift
• Monday to Friday

Education:

• Secondary School (preferred)

Experience:

• Front desk: 1 year (preferred)
• Administrative experience: 1 year (preferred)

Language:

• English (required)

Work Location: In person
