We are seeking a detail-oriented and organized Office Assistant to support daily administrative operations in a professional office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience with various office software. This role involves handling clerical tasks, managing front desk responsibilities, and providing exceptional customer service to clients and visitors. The Office Assistant plays a vital role in maintaining an efficient workflow and ensuring the smooth operation of the office.
Writing and speaking fluently in English and Persian (Farsi) is required.
Responsibilities
Greet visitors and manage front desk duties with professionalism and courtesy
Answer multi-line phone systems and direct calls appropriately using proper phone etiquette
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Maintain organized filing systems, both physical and electronic, including document management and record keeping
Assist with scheduling appointments, meetings, and calendar management
Support bookkeeping activities such as invoicing, billing, and basic financial record keeping
Provide customer support via phone, email, or in person to address inquiries and resolve issues
Proofread documents for accuracy and clarity before distribution
Handle administrative tasks such as photocopying, faxing, scanning, and mailing documents
Support medical or dental office functions if applicable, including patient check-in/out and insurance verification
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar accounting software is preferred
Strong data entry skills with high accuracy and attention to detail
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional customer service skills with professional phone etiquette
Clerical experience in an office setting; medical or dental office experience is a plus
Familiarity with multi-line phone systems and front desk operations
Ability to proofread documents thoroughly and maintain confidentiality of sensitive information
Strong typing skills for efficient document processing
Basic bookkeeping knowledge for handling invoices and financial records
Fluency in English and Persian (Farsi) -- both written and spoken -- is required
