The Opportunity



The Office Assistant will play a key role in supporting Lumina's daily operations. This position involves administrative coordination, document production, and client support. The ideal candidate is organized, mature, and capable of managing multiple responsibilities with consistency and discretion.

Key Responsibilities



Greet clients and manage front-office communications in a professional and courteous manner. Schedule meetings, coordinate calendars, and assist with appointment preparation. Handle scanning, printing, copying, binding, and assembly of legal and administrative materials. Prepare and manage execution packages, cover letters, and delivery arrangements. Maintain organized physical and digital filing systems to ensure efficiency and accuracy. Assist with billing preparation, invoice tracking, and payment follow-up. Order and maintain office supplies and coordinate vendors and couriers. Ensure all documents are formatted, proofread, and quality-checked prior to delivery. Support process tracking and checklists to ensure timely completion of tasks. Provide consistent administrative support to maintain the firm's operational rhythm and client experience.

Qualifications and Attributes



Minimum of one year of administrative experience, preferably within a legal or professional services environment. Strong organizational skills and exceptional attention to detail. Clear and professional communication skills, both written and verbal. Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort with digital file management. Ability to manage multiple priorities in a structured and calm manner. High level of discretion and integrity when handling confidential information. Demonstrated reliability, accountability, and commitment to quality work. Proficiency in Asian languages is considered an asset, but not required.

Compensation



$40,000 - $60,000 per year, depending on qualifications and experience.
This is a full-time position at 40 hours per week. Benefits are not included.
