About the Role



We are seeking a detail-oriented

Office Assistant

to support daily administrative and financial operations within our small property management company. This position is ideal for someone who enjoys variety, is highly organized, and can manage multiple responsibilities with accuracy and professionalism.

Key ResponsibilitiesFinancial & Billing Support



Process

bank deposits

(both remote and in-branch). Complete

biweekly CAW billing

. Manage

biweekly DGP billing

, including updating the outgoing emails spreadsheet. Handle

monthly Subprime leads billing

. Prepare the

Monthly Delivery Source/Leads Report

.

Track payables and receivables

, including monthly rent and management fee deposits. Write

intercompany cheques

and cheques for invoices as required. Assist with compiling invoices for corporate credit cards.

Reconcile credit card statements

with receipts each month. Prepare

posting reports

.

Administrative & Property Management Tasks



Maintain and update

Ontario film locations library listings

(as needed). Draft

commercial leases

as required. Manage

utility accounts

: set up new accounts, arrange pre-authorized payments, and organize digital bills. Support the process of obtaining

demolition permits

, including DOS forms and fees. Review outgoing

email marketing

materials for spelling, grammar, and link accuracy (as needed).

Qualifications



Strong attention to detail and accuracy. Excellent organizational skills with the ability to multitask. Proficiency with standard office software (Excel, Outlook, etc.). Comfortable handling financial documentation and transactional tasks. Strong written communication skills. Previous administrative or property management experience is an asset.
