Prairie Harm Reduction is seeking a detail-oriented and highly organized
Part-Time Office Assistant
to support day-to-day administrative operations across the organization. This role provides practical, behind-the-scenes support that helps keep systems running smoothly, departments organized, and information flowing efficiently.
Key Responsibilities
Administrative & Office Support
Provide general administrative support, including filing, scanning, organizing documents, and maintaining shared digital and physical records
Answer and direct incoming phone calls and general inquiries
Support departments with booking meeting spaces, coordinating room availability, and basic meeting logistics
Assist with preparation and formatting of internal reports, trackers, and summary documents
Basic Bookkeeping & Financial Support
Organize, label, and upload receipts and financial documents to shared systems
Support donation tracking, including logging donations and assisting with coordination of donation receipts
Assist with organizing financial documentation for internal reporting and audits (no payroll or full-cycle bookkeeping)
Provide basic administrative support to finance and admin staff as required
Supply & Asset Coordination
Coordinate supply ordering for all departments, including tracking requests and placing approved orders
Receive, organize, and distribute incoming supplies
Maintain basic inventory tracking for office and program supplies
Supply shopping for all departments
Cross-Departmental & Systems Support
Act as a shared administrative resource across departments
Support upkeep of shared calendars, trackers, and administrative systems
Identify opportunities to improve administrative processes, organization, and workflow efficiency
Other Duties
Complete other administrative tasks as assigned that align with the role and Prairie Harm Reduction's operations.
Contribute to maintaining an organized, responsive, and collaborative office environment
Qualifications & Skills
Required
Experience in an administrative, office support, or clerical role
Strong organizational skills and attention to detail
Comfort using digital tools such as Google Workspace, shared drives, and spreadsheets
Ability to manage multiple small tasks, meet deadlines, and adapt to changing priorities
Clear communication skills and a collaborative, team-oriented approach
Assets
Experience working in a nonprofit, community-based, or social service organization
Familiarity with basic financial document handling, donation tracking, or inventory coordination
Experience supporting multiple teams
Understanding of confidentiality and professional boundaries in a community-based setting
Working Conditions
Primarily office-based with regular interaction across departments and programs
Flexible scheduling within standard business hours
Occasional light lifting related to supplies or event materials
Job Type: Part-time
Pay: $22.00 per hour
Expected hours: 20 per week
