First Baptist Church, Ponoka is seeking a detail-oriented, professional, and compassionate
Office Assistant
to support our pastoral team and leadership. The successful candidate will help fulfill the church's mission by ensuring smooth daily operations and providing exceptional administrative support.
This position reports directly to the Lead Pastor.
Key Responsibilities
Communications & Media
Prepare the weekly bulletin and worship PowerPoint slides.
Update weekly announcement slides and post updates to the church website.
Send email communications to the congregation as requested.
Office & Facility Administration
Maintain a professional reception area and organize foyer materials.
Answer and screen phone calls, mail, and email; route as appropriate.
Manage church meeting room bookings in coordination with the Pastor and Property Deacon.
Organize and maintain membership records (new members, baptisms, weddings, deaths).
Coordinate document preparation for insurance/pension plans and new hires.
Sunday Service Preparation
Organize and restock pews (e.g., envelopes, pencils).
Prepare children's materials for Sunday services.
Finance & Record Keeping
Code invoices and donations; file all financial documents.
Collect and deposit funds for events and rentals (two-person deposit rule).
Make online payments, pick up cheques, obtain signatures, and ensure proper filing.
Coordinate with the Bookkeeper and prepare payment slips.
Church Operations
Maintain master password lists, order office supplies, and manage keys/access codes.
Collaborate with church leadership on reports, literature, standard forms, and procedures.
Update the church calendar and directory.
Notify pastors/elders of member hospitalizations or deaths.
Technical & Support Tasks
Contact vendors (e.g., Shaw, Zone 3) for service support as needed.
Proof and edit sermon notes or documentation upon request.

Qualifications
Minimum
2 years' experience
in an office assistant/secretarial role.
Proficiency in
Microsoft Office Suite
(Word, Excel, PowerPoint, Publisher).
Typing speed of at least
65 words per minute
.
Comfortable with technology and office equipment.
Strong organizational and interpersonal skills.
