Provide first-contact telephone service and reception support in the constituency office, including receiving guests and meeting participants
Assist in ensuring that the office is accessible to constituents though regular and consistent hours of operation, answering phone calls, e-mails and other correspondence.
Deal with daily queries from members of the public by phone or email, taking appropriate initial action to resolve, document or escalate their concerns or enquiries.
Monitor, prioritize and process all emails in a timely manner; process incoming mail
Assist with office administration duties including file management and liaising with the Member of Parliament.
Assist with advocacy work on behalf of constituents in need of support from various government programs (Immigration, Student Loans, CRA, EI, OAS, CPP) on a case by case basis (casework) including detailed tracking of case files through contact database software.
Schedule all Member appointments, meetings and events both in the riding and Ottawa
Log all constituent contact and information using CRM software
Assist with other administrative tasks
Other duties as assigned
Outreach:
Support positive relationships with various community associations, organizations, constituents, other riding staff and MPs
Schedule outreach activities when required
Periodically attend community meetings and events with or on behalf of the MP, including evenings and weekends
Qualifications:
Academic degree or diploma from an business administration program or relevant field/ equivalent work experience.
Above average written and verbal communications skills
Ability to work independently and manage your own caseload & have empathy with others in difficult situations
Ability to work effectively under pressure, prioritizing and managing multiple projects
Exceptionally organized with attention to detail
Process oriented and customer service approach to all aspects of the work
Effective decision maker
Above average computer skills in Windows, MS-Office, Microsoft Outlook
Willingness to work some flexible hours, including occasional evenings and weekends
A demonstrated commitment to community volunteerism
Familiarity with programs run by the federal government
Hours of work are Tuesday to Friday from 9:30 a.m. to 2:30 p.m. From time-to-time additional hours may be required.
