Job Description

Role Overview:
This is a hybrid role combining reception duties with executive-level support. You'll be the first point of contact for visitors and ensure smooth day-to-day operations of the office, while also assisting executives with scheduling, travel coordination, and administrative tasks.
Key Responsibilities
Reception & Office Coordination:
- Greet and assist visitors in a professional and friendly manner.
- Manage incoming calls, mail, and packages.
- Maintain the office calendar, schedule meetings, and oversee conference room bookings and technology setup.
- Coordinate catering and meeting refreshments.
- Order and manage office supplies and equipment.
- Ensure reception and common areas are clean and organized.
- Liaise with building management for facilities-related needs.
Executive Assistance
- Manage executive schedules, appointments, and events.
- Arrange travel itineraries, accommodations, and transportation.
- Prepare communications, documents, and presentations.
- Handle expense reports and reimbursements.
- Maintain confidential files and records.
- Support special projects and ad hoc initiatives as needed.
About You:
- College diploma or equivalent combination of education/experience in administrative support.
- Proven experience in a receptionist, administrative assistant, or executive assistant role.
- Professional, friendly, and approachable demeanor with strong interpersonal skills.
- Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
- Proficient in MS Office (Word, Excel, Outlook) and comfortable with formatting, mail merges, and basic document design.
- Discreet and able to handle confidential information with integrity.
- Collaborative team player with a positive, proactive attitude.
