Administrative assistant with light receptionist duties in an Investment brokerage office

Saint-Leonard, QC, Full time

Our team at Manulife Wealth is looking for an administrative assistant to assist in various administrative tasks and provide day-to-day operational support.

Responsibilities:

- Answer the telephone in French and English, provide information, take messages, transfer calls, and book clients' appointments.

- Responsible for the day-to-day operations of the office

- Maintaining a compliant record management process for client and business files

- Running recruiting campaign for Jr. Advisors

- Managing the onboarding process of new hires with Head Office

- Ensure compliant documentation of all transactions

- Participate in ongoing training related to job duties; develop knowledge and skill through sponsored education

- Organize office events

- Maintain data in client relationship management software (CRM).

- Process mail, prepare client correspondence

Qualifications:

- Canadian Securities Course (CSC) completion is a plus.

- Excellent functional knowledge of MS Office: Excel, Word, Teams, and Outlook

- Provide unparalleled customer service by paying personalized attention to each customer (special requests, birthdays, celebrations, etc.).

- Initiative, problem solving, and client service skills are essential.

- Bilingual: Fluent in the written and oral form of the English and French languages.

- Proven effective time management skills.

- Adaptable to an evolving practice.

- Meticulous attention to detail and handling of confidential client information.

- Ability to prioritize, multitask, and provide necessary follow ups. Organizational skills: ability to manage multiple files at once and work with tight deadlines.

- Understanding of Investment products available to Canadian Investors (eg. RRSP, RRIF)

- Working experience in the financial industry is an asset.
