Overview


We are seeking a highly organized and professional Office Assistant to join our dynamic team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. Bilingual skills are a plus, as well as experience with medical or dental reception duties. The Office Assistant will handle a variety of clerical and customer service tasks, supporting both staff and clients to maintain an efficient workplace.

Responsibilities



Manage front desk operations, including greeting visitors and clients with professionalism and courtesy Answer multi-line phone systems promptly and courteously, directing calls appropriately Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks Handle scheduling, calendar management, and appointment setting for staff and clients Assist with filing, document proofreading, and general administrative support to ensure organizational efficiency Provide customer support via phone, email, or in person, maintaining excellent phone etiquette and customer service standards Support office management tasks such as bookkeeping, invoicing, and basic bookkeeping functions Maintain office supplies inventory and coordinate office maintenance as needed Support medical or dental receptionist duties if applicable, including patient check-in/out and insurance verification

Skills



Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar accounting software preferred Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent typing speed and accuracy for data entry tasks Exceptional communication skills, including phone etiquette and customer service experience Bilingual abilities are highly desirable to assist diverse client needs Previous office management or administrative experience is preferred Familiarity with multi-line phone systems and front desk procedures Attention to detail for proofreading documents and managing files accurately Ability to prioritize tasks effectively using strong time management skills Personal assistant or medical/dental receptionist experience is a plus

Pay: From $17.60 per hour
