Saint Luke's Dixie Senior Residence Corporation (Westminster Court) has been in operation for 42 years and operates a 190-unit not for profit residence for seniors able to live independently. We are located at 4150 Westminster Place, Mississauga. We are currently upgrading the existing building and are in the process of constructing a new 70-unit expansion, which we expect to begin building in 2026
Westminster Court's Mission
is to provide affordable housing in Peel Region, for seniors with low to moderate incomes who are able to live independently in the community. We will be faithful to our Christian Principles and enable tenants to participate in a safe, active Westminster community. We support our tenants' changing needs and respond to increasing demand by enabling them to independently access third party service providers.
Our Vision
is to upgrade Westminster Court's facilities and serve a greater number of low to moderate-income seniors by 2027.
Opportunity
We are currently looking for a full-time office assistant, who can assist in handling the additional office work, during and after the construction of the new building.
Remuneration & Hours of Work
Remuneration:
$50,000 to 55,000/year. Employee group benefits and sick days are available.
The normal work week is Monday to Friday from 8:30 a.m. - 4:30 p.m (7.5hrs/day plus unpaid lunch break), and may include occasional evenings or weekends.
Duties
In cooperation with other staff, the Office Assistant will help to manage the additional administrative work leading up to, during and after construction of the new building.
Note: Once the new building is constructed, the job description will be revisited to reflect the administrative requirements of operating both the current and new buildings.
The key responsibilities of the Office Assistant include but are not limited to:
1. Office Reception and Clerical Support
1.1 Reception: phone and walk-in
1.2 Photocopying, collection and distribution of written materials
1.3 Date stamping and distribution of incoming correspondence
1.4 Receive/screen issues or concerns from tenants and refer to the Administrator or other appropriate staff person and/or other agencies (e.g. VON)
1.5 Assist rent geared to income tenants in preparing documentation for the annual rent review
1.6 Assist in mailing: printing forms, letters and labels
1.7 Other administrative tasks as assigned by the Administrator
2. Application and New Tenancy
The Office Assistant will help in the tenant selection process by performing the following duties
2.1 Answering general inquiries regarding rental information, features of the building, resident programs & supportive housing services
2.2 Respond to applicants' inquiries about their status on the waiting list and receive updates from applicants
2.3 Provide building tour for prospective applicants
2.4 Show vacant units to prospective applicants on the top of the waiting list
2.5 Issue keys and perform Move-in Inspection
2.6 Provide orientation to new tenant and liaison with the Association's Welcome Convenor.
3. Responding to Emergency
3.1 Respond to tenant and building related emergencies, when necessary, contact
appropriate staff, authorities, police or family.
3.2 Ensure prompt access is granted to emergency crew(s) and direct the crew(s) to the scene (in the absence of maintenance staff).
4. Communication and Tenant Relations
4.1 Enlist assistance in translation and interpretation of important notices and events into dominant languages used by the residents
4.2 Promote informal and social interaction among residents
4.3 Support the tenants in their activities and promote their involvement in community life.
5. Fire Prevention
5.1 Help to provide fire prevention education to tenants
5.2 Assist in arranging fire drills and monthly fire alarm tests
6. Other Administrative Duties as Required
Skills and Education:
College education in business administration and property management preferred.
Maintain confidentiality, tact, and diplomacy as well as positive attitude and effective interpersonal skills,
Ability to work independently and as a member of a team,
Good written and verbal communication skills in English,
Computer skills: Microsoft office
