Office Assistant

to support our operations and help keep our projects running smoothly. This is a great opportunity to grow with a small but dedicated team in the construction and design industry.

Responsibilities



Be the first point of contact for clients via phone, email, and in person Perform data entry tasks accurately and efficiently to maintain organized records Assist in filing documents and maintaining an orderly office environment Prepare and manage invoices, contracts, and project documentation Provide customer support by addressing inquiries and resolving issues promptly Utilize Google Suite for various administrative tasks including scheduling and document management Demonstrate excellent phone etiquette while interacting with clients and vendors Coordinate with suppliers, subcontractors, and internal team members Schedule meetings, project walkthroughs, and team appointments Support the team with administrative tasks and internal process improvements Help manage and maintain BuilderPro or other CRM Ensure the office is organized and reflects our professional brand Assist with marketing tasks such as social media updates or basic website content edits

What We're Looking For



Highly

organized

, detail-oriented, and able to manage multiple priorities A

self-learner

who takes initiative and enjoys solving problems independently Comfortable in a

construction or trades-related

environment (experience is a strong asset) Proficiency with

Google Workspace (Docs, Sheets, Calendar, Gmail)

Experience with

BuilderPro

, or similar CRM/project management tools (or willing to learn) Strong communication and interpersonal skills A diploma in

Business Administration

,

Office Management

, or a related field Ability to work independently and as part of a collaborative team A Combination of education and experience will be considered Understanding of AI tools is an asset
