We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will be responsible for managing front desk operations, providing exceptional customer service, and handling various clerical tasks. Duties
Greet visitors and manage front desk responsibilities with professionalism and courtesy
Answer multi-line phone systems, direct calls, and take accurate messages
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Manage calendar appointments, schedule meetings, and coordinate calendar management using Google Workspace or Microsoft Office tools
Handle customer support inquiries via phone or email, providing excellent service and support
Assist with bookkeeping tasks using QuickBooks or similar software
Support office management functions including supply ordering, record keeping, and administrative support
Maintain office cleanliness and organization to promote a productive work environment
Provide personal assistant duties as needed, including travel arrangements or special project support
Requirements
Proven experience in office administration or clerical roles with familiarity in office management tasks
Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Experience with QuickBooks, bookkeeping, or medical/dental receptionist duties is a plus
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are preferred to assist diverse client needs
Strong phone etiquette and customer service skills for front desk and support roles
Ability to handle confidential information discreetly and professionally
Exceptional proofreading, typing speed, and time management skills
Prior experience in office management or administrative support roles is desirable
