Job Summary
The Office Assistant owns the
front-line operations
of our primary care clinic. You will manage the complete patient flow -- from first contact to EMR documentation -- while supporting providers with clinical intake and laboratory handling.
Responsibilities
Patient Flow & Scheduling
Greet and check in/out patients in a timely, welcoming manner.
Schedule and reschedule appointments; manage late arrivals with attention to detail.
Process payments accurately and address patient inquiries about services promptly.
Clinical Intake & Support
Measure and record vital signs (height, weight, blood pressure, heart rate) for new patients or as requested by providers.
Collect and label specimens accurately.
Turn over exam rooms and restock supplies efficiently between patients and as needed.
Submit supply orders proactively to ensure inventory is well maintained.
Lab & Documentation
Label, store, and coordinate lab samples carefully and arrange courier pickups as required.
Map and organize clinic forms in the EMR to ensure they are correctly categorized and easily accessible.
Clinic Communication
Serve as primary email contact: triage, respond, or escalate all primary-care emails in a timely and professional manner.
Qualifications
Required Skills & Experience
Minimum 1 year of experience in an office, primary care clinic, or equivalent client-facing role.
Proficiency with electronic medical records (EMR) and appointment-scheduling software.
Demonstrated track record of
high-accuracy administrative work
(e.g., near-zero data entry errors).
Must be able to stay late as needed and assist with clinic closing procedures, typically until 6:30?PM.
Tech savvy with the ability to learn and navigate EMR systems, scheduling software, and office technology quickly and effectively.
Bonus: Basic clinical skills including vital signs measurement and specimen handling.
