Office Assistant to the Accountant
. The ideal candidate will excel in time management and communication, assisting with bookkeeping tasks, maintaining customer accounts, and ensuring accurate daily record-keeping. This role also involves supporting the store accountant with administrative duties and helping to keep office operations running smoothly.
Key Responsibilities:
- Review and finalize daily financial reports, ensuring accuracy in sales and cash revenue.
- Monitor daily transactions, identifying discrepancies and making necessary corrections to maintain precise financial records.
- Support bookkeeping functions, working closely with the accountant to uphold accurate and organized financial documentation.
- Process and apply customer payments, ensuring accuracy in account updates and handling account payments efficiently.
- Respond to customer inquiries, providing timely and professional assistance regarding account transactions.
- Prepare and distribute customer statements, including printing, emailing, and organizing mailings.
- Set up new customer accounts, inputting customer information and conducting credit reference checks before finalizing account setup.
- Organize and maintain financial records, including weekly remittances, invoices, and purchase orders.
- Review documents for accuracy, identifying discrepancies or errors to prevent overcharges or missing items.
- Ensure proper filing and record-keeping, keeping financial data structured and easily accessible for future reference.
- Collaborate with relevant departments to optimize inventory processes and minimize discrepancies.
- Maintain records of all safety talks and training sessions, tracking employee participation and ensuring proper documentation using company health and safety site.
- Stay up to date with health and safety regulations, industry best practices, and emerging workplace hazards as well as notify and inform employees of monthly training lessons.
- Help with receiving and matching packing slips with purchase orders.
Qualifications:
- Previous experience in bookkeeping, accounting support, or office administration.
- Ability to process invoices, payments, and financial statements with precision.
- Problem-solving abilities to quickly identify and correct discrepancies.
- Strong command of Microsoft Office Suite, especially Excel.
-High Level of discretion and professionalism.
- Excellent organizational and time management skills to handle multiple tasks efficiently.
Working Conditions:
-Standard office environment with desk-based work where most tasks involve sitting at a desk, using a computer, phone, and office equipment
-Monday - Friday, 9:00 AM - 5:30 PM.
Job Type: Full-time
Pay: $21.00-$25.00 per hour
