We are seeking a highly organized and detail-oriented part-time Office Assistant to join our team. The ideal candidate will possess strong administrative skills and have a passion for providing exceptional customer service. This role is essential in ensuring the smooth operation of our office, supporting both staff, residents and families through effective communication and efficient office management. Potential for full-time hours.

Responsibilities



Manage daily office operations, including filing, data entry, and clerical tasks. Assist new residents and families with admission and contracts Provide excellent customer support by answering inquiries and addressing concerns in a professional manner. Handle front desk duties, including greeting visitors and managing multi-line phone systems. Maintain accurate and up-to-date employee records, ensuring compliance with company policies and legal requirements. Manage daily office operations including ordering office supplies and maintaining equipment Maintain organized records and files to ensure easy access to information. Manage and update all required databases and contact information as needed for staff, residents and families Assist with company payroll in supportive role as needed. Assist with maintenance of resident trust accounts Collaborate with team members to streamline administrative processes and improve office efficiency. Have a willingness to learn Ability to maintain confidentiality and handle sensitive information with professionalism. Manage email distribution lists

Requirements



Post-secondary education in office administration, Human Resources, or other relevant work experience Proven experience in an office setting with a focus on administrative tasks. Proficiency in Microsoft Office Suite (Word, Excel,) Strong computer skills with the ability to learn new software quickly. Experience with data entry, filing systems, and clerical duties is essential. Excellent phone etiquette and customer service skills are required for effective communication with clients and team members. Organizational skills are critical for managing multiple tasks efficiently.
