We are looking for a reliable and detail-oriented Office Assistant to support our growing operations. This role is ideal for someone early in their administrative career who is organized, proactive, and comfortable assisting multiple managers with day-to-day tasks.
Key Responsibilities
General Administrative Support
Provide general admin support for all operations, including filing, scheduling, scanning, and document preparation
Assist with routine office tasks to ensure smooth day-to-day operations
Data Entry & Administration
Enter and maintain accurate data across various systems
Organize digital and physical files
Prepare basic reports as requested
Building Maintenance Oversight
Coordinate with trades/contractors for small building maintenance tasks as directed
Perform minor cleaning duties when required (light tidying, small upkeep tasks)
Assist with rent collection and follow up on outstanding payments
Track maintenance schedules and ensure issues are addressed promptly
Assist with basic building-related administration and follow-up requests
Insurance & Compliance
Assist with collecting Certificates of Insurance (COIs) from vendors
Monitor expiry dates and follow up for renewals
Help maintain internal compliance documentation
Estimating and operations Support
Help prepare documents and submission packages
Organize supporting materials required by project managers
Assist with uploading, formatting, and reviewing tender files
Manager Support
Provide administrative help to multiple managers as needed
Book meetings, handle small errands, and support routine office tasks
Be adaptable and able to switch between tasks throughout the day
Skills & Qualifications
1-3 years of office or administrative experience (preferred but not required)
Strong attention to detail and accuracy
Good organizational and time-management skills
Comfortable assisting several managers simultaneously
Basic proficiency in Microsoft Office (Word, Excel, Outlook)
Strong communication skills
Ability to work independently with guidance from management
